# Getting started

The core workflow from demand forecasting to supply order validation.

Flowlity's planning workflow is structured around three main steps. Most planners follow this flow daily.

### 1. Review demand forecasts

Open the [Demand](/modules/demand) module to see AI-generated forecasts for your products. For each product, you can compare cleaned and raw historical demand, review the Flowlity forecast with its confidence interval, and override it with your own values when needed.

**Key actions:** check forecast accuracy, investigate outliers, adjust the final forecast.

### 2. Check your supply plan

Move to the [Planning](/modules/planning) module to see how stock levels and supply orders look based on those forecasts. Flowlity computes an optimal stock corridor (Flowlity Min / Max) and recommends planned orders to keep your inventory within that range.

**Key actions:** review projected stock, identify stockout or overstock risks, run optimization.

### 3. Validate and release orders

Go to [Supply Orders](/modules/supply-orders) to review the orders Flowlity has generated. Check quantities, delivery dates, and supplier constraints, then validate and release orders when you're ready to commit.

# Views and filtering

How views, filters, sorting, and custom views work across Flowlity.

Views are saved configurations of filters, columns, and sorting that let you quickly focus on a subset of your data. They appear as tabs at the top of the Demand, Planning, and Supply Orders modules, and they also serve as the scope for automations.

### Built-in views

The Demand, Planning, and Orders modules ship with default views that address common workflows:

* **Default view** — The full product list. It now opens with a curated set of columns and filters rather than an empty grid, giving you a cleaner, ready-to-use starting point that you can still adjust at any time.
* **Forecast accuracy** (Demand) — Highlights how well past forecasts matched actual demand.
* **New products** (Demand) — Surfaces recently added products that may need attention.
* **Outliers** (Demand) — Flags products with unusual demand patterns detected by the Demand Anomaly Agent.
* **Stockout** (Planning) — Surfaces products at risk of running out of stock.
* **Overstock** (Planning) — Highlights products with excess inventory.
* **Planned** (Orders) — Orders recommended by the optimization engine, not yet confirmed.
* **Validated** (Orders) — Orders reviewed and confirmed by the planner.
* **Released** (Orders) — Firm orders imported from the ERP.
* **Delivered** (Orders) — Orders fully received and closed.

### Filters

Below the view tabs, a filter bar lets you narrow the product list further. You can filter by:

* **Name or reference** — Free-text search.
* **Tags** — Any tag or tag category defined in [Tags settings](/settings/tags).
* **Suppliers** — One or more suppliers.
* **Alerts** — Products with active alerts.

Filters are additive — combining multiple filters shows only products that match all of them.

### Sorting

Click any column header in the product list to sort by that column (ascending or descending). Sorting works on all columns, including [KPI columns](/concepts/kpis). Your current sort order is saved as part of the view.

### KPI column filtering

[KPI columns](/concepts/kpis) offer an additional level of filtering beyond the top filter bar. Once a KPI column is visible in the product list, you can filter its values to focus on a specific range — for example, show only products where a particular forecast or demand metric exceeds a threshold. This makes it easy to combine top-level filters (tags, suppliers) with metric-based filtering on KPI columns.

### Custom views

Click the **+** button next to the existing view tabs to open the **Add new view** dialog. You have two options:

* **Create new** — Build a view from scratch. Enter a **Name** and optionally check **Show for all users** to make the view appear automatically for every user on the page. Users can remove or duplicate it in their own environment.
* **Select from existing** — Browse views created by other users and add one to your own tabs.

A custom view saves your current filters, column selection, and sorting settings so you can return to it with one click.

### Views as automation scope

When you create an automation, you select a saved view as its **scope**. The automation then applies its actions only to the products that belong to that view. This means a well-organized set of views doubles as a way to target automated workflows precisely.

# Alerts

Alert types, where they surface, and how to act on them.

Alerts are Flowlity's exception-management mechanism. They flag products, orders, or situations that need your attention so you can focus on what matters instead of reviewing everything manually.

### Where alerts appear

Alerts surface in several places across the platform:

* **Analytics** — The Alerts section provides a consolidated view of all active alerts, helping you answer "will it be a good or bad week?"
* **Demand** — Filter the product list by alerts to find items with unusual demand patterns.
* **Planning** — Filter by alerts to spot products with projected stockouts or overstock situations.
* **Supply Orders** — Filter orders by alerts to identify orders that may need urgent attention (e.g. late deliveries, constraint violations).

### Alert types

Flowlity generates alerts based on different conditions:

* **Stockout risk** — Projected stock drops below the minimum safety stock level.
* **Overstock** — Projected stock exceeds the maximum target, tying up capital.
* **Demand anomaly** — Unusual demand patterns detected by the Demand Anomaly Agent.
* **Stockout response** — An order has been generated in response to a projected stockout, requiring review.
* **Data quality** — Issues flagged by the Data Quality Report in Analytics.

### Acting on alerts

Alerts are informational — they draw your attention to a product or order but don't change anything automatically. Typical actions include:

1. **Investigate** — Open the product detail view in Demand or Planning to understand the root cause.
2. **Adjust** — Modify the forecast, buffer policy, or order quantities as needed.
3. **Automate** — Create an automation scoped to an alert-filtered view to handle recurring patterns automatically.

# Inventory strategies

The five inventory strategies available in Flowlity and when to use each.

Every product in Flowlity is assigned an inventory strategy that determines how supply planning works for that item. The strategy controls whether stock is held, how safety stock is calculated, and how reorder decisions are made.

### Available strategies

#### MTS Flowlity AI

Make-to-stock with AI-optimized safety stock. Flowlity uses probabilistic forecasting to compute a dynamic safety stock level that adapts to demand variability. You set a target **service level** (e.g. 95 %, up to 99.9 %) and Flowlity calculates the buffer size needed to meet it.

**Best for:** Products with variable demand where you want AI-driven optimization.

#### MTS My min

Make-to-stock with a manually defined minimum stock level. You set a fixed minimum quantity that should always be on hand, regardless of demand patterns.

**Best for:** Products where business rules or contractual obligations dictate a fixed safety stock.

#### MTS Reorder point

Classic reorder-point policy. You configure a **reorder point** (the stock level that triggers a new order) and a **reorder quantity**. When projected stock drops to the reorder point, an order is generated.

**Best for:** Stable-demand products managed with traditional replenishment rules.

#### MTS Reorder point + AI

Same as the standard reorder point, but Flowlity dynamically adjusts the reorder point using AI-based demand signals. This gives you the familiarity of a reorder-point policy with the benefit of AI-driven adaptation.

**Best for:** Products transitioning from manual reorder-point management to AI-assisted planning.

#### MTO

Make-to-order. No stock is held; orders are placed only against confirmed customer demand. There is no safety buffer.

**Best for:** Custom or high-value items where holding inventory is impractical or too costly.

### Where to configure

# Buffer policies and safety stock

Safety stock logic, service levels, and the Flowlity Min/Max corridor.

A buffer policy defines the safety stock parameters applied to a product. It determines how much extra inventory you hold to protect against demand variability and supply uncertainty. Buffer policies work hand-in-hand with [inventory strategies](/concepts/inventory-strategies) — each strategy type has its own set of buffer parameters.

### How buffer policies work

When Flowlity plans supply for a product, it uses the buffer policy to compute a safety stock level. This level appears in the Planning module as the **Flowlity Min** line on the chart. Together with **Flowlity Max**, it forms the optimal stock corridor — the band within which your stock should stay to balance service and cost.

* **Stock below Flowlity Min** — Risk of stockout. The Planning chart shows this in red.
* **Stock within the corridor** — Healthy range. Shown in green.
* **Stock above Flowlity Max** — Overstock situation, tying up working capital.

### Parameters by strategy

* **MTS Flowlity AI** — You set a target **service level** (e.g. 95 %). Flowlity uses probabilistic forecasting to calculate the safety stock needed to meet that service level, adapting dynamically as demand patterns change.
* **MTS My min** — You define a fixed **minimum stock** quantity. This value is used directly as the safety stock, regardless of demand.
* **MTS Reorder point** — You configure a **reorder point** and a **reorder quantity**. The reorder point acts as the buffer threshold.
* **MTS Reorder point + AI** — Same as standard reorder point, but Flowlity adjusts the reorder point dynamically using AI signals.
* **MTO** — No buffer. Orders are placed only against confirmed demand.

For strategies that use a dynamic Stock Min (such as MTS Flowlity AI), you can set a **minimum floor** — a threshold the Stock Min will never go below, whether expressed in quantity or days of coverage. This protects service levels while still benefiting from Flowlity's dynamic recommendations.

### Default vs product-level overrides

Buffer policy defaults are set at the site level in the [Buffer Policy](/settings/buffer-policy) settings page. These defaults apply to all products using a given strategy, unless a product has an explicit override.

To override the default for a specific product, go to [Products](/settings/products) > Inventory strategy tab and set custom buffer parameters. Product-level overrides take precedence over site-level defaults.

# How Flowlity calculates Stock Min

The data points behind the Flowlity Min line, and how Flowlity builds a dynamic, probabilistic safety stock.

**Stock Min** (shown as the **Flowlity Min** line in the [Planning](/modules/planning) module) is the dynamic safety stock Flowlity holds to protect availability against demand variability and supply uncertainty. It is the lower bound of the [optimal stock corridor](/concepts/buffer-policies).

Unlike a classic safety stock, which is a single static value derived from average demand and a fixed lead time, Flowlity's Stock Min is **recomputed for every future period**. It rises when the coming weeks are riskier (higher or more volatile demand, longer or less reliable supply) and falls when they are calmer, so you carry protection only where and when it is actually needed.

### The core idea

To cover a product between today and the next delivery, Flowlity needs to answer two questions with uncertainty on both sides:

* **How much could demand be?** Not just the average, but a realistic high case.
* **How long could resupply take?** Not just the nominal lead time, but a realistic worst case.

Flowlity models both as **probability distributions** rather than single numbers, then sizes Stock Min to cover the gap between an expected scenario and a high-risk scenario over the replenishment period. The width of that gap, tuned to your target service level, is the safety stock.

### Data points Flowlity uses

Flowlity combines several signals, all computed per product and per site:

**Demand signals**

* **Historical demand**: past consumption, including its level and its variability.
* **Probabilistic demand forecast**: Flowlity's [forecast](/concepts/demand-forecasting), expressed as a range of likely outcomes rather than a single line, including the high-demand case.
* **Forecast accuracy**: how well the model has predicted this product recently. A product that is harder to forecast gets more protection.
* **Demand variability**: how erratic consumption is from period to period.

**Supply signals**

* **Historical lead time**: how long resupply has actually taken in the past.
* **Probabilistic lead time**: the expected lead time and, crucially, its variability, so that unreliable supply is buffered more than dependable supply.
* **Supplier reliability signals**: inputs such as supplier scorecards and carrier performance that inform how much lead time can drift.

**Policy and context signals**

* **Target service level**: the availability objective you set per product or strategy (for example 95%). A higher target widens Stock Min.
* **Risk profile**: a product-level risk setting that scales protection up or down for critical or low-priority items.
* **Product lifecycle stage**: new products, running products, and end-of-life products are treated differently.
* **Minimum floor**: an optional threshold (in quantity or days of coverage) that Stock Min will never drop below. See [Buffer policies and safety stock](/concepts/buffer-policies).

### Why it is dynamic

Because the demand forecast and the lead-time model are both time-dependent, Stock Min changes across the horizon:

* Ahead of a seasonal peak or a promotion, the high-demand case rises, so Stock Min rises with it.
* When supply becomes more reliable, the lead-time buffer shrinks and Stock Min drops.
* As forecast accuracy improves for a product, less protection is needed for the same service level.

This is what lets Flowlity protect availability while keeping average inventory lower than a static safety stock would require.

### Where Stock Min applies

Stock Min is calculated for make-to-stock strategies that use Flowlity's AI (for example **MTS Flowlity AI**). Strategies with a fixed minimum or a manual reorder point use the value you set instead of a dynamically computed one, and **MTO** products carry no Stock Min. # Demand forecasting explained

How Flowlity's probabilistic forecasting works and how to interpret it.

Flowlity uses probabilistic forecasting to predict future demand. Unlike a single-point forecast, probabilistic forecasting produces a range of likely outcomes — a **confidence interval** — that reflects the uncertainty inherent in any prediction. This gives planners a more realistic picture of what to expect and feeds directly into inventory optimization.

### How it works

The forecasting engine (powered by the Forecast Agent) runs weekly and learns continuously from your data. It combines several inputs:

* **Cleaned past demand** — Historical demand after Flowlity has removed anomalies, noise, and **price and promotion effects**. Demand is normalized to the last observed base price so that promotional spikes do not distort the baseline forecast — this produces a more accurate estimate of underlying demand and enables Flowlity to properly measure the true uplift of promotions. The Demand Anomaly Agent handles this cleaning automatically.
* **Raw past demand** — The original, unmodified demand data from your system, kept for reference.
* **Similar products** — For new or sparse items, the Product Similarity Agent identifies analogous products whose history helps bootstrap a reliable forecast.
* **Seasonality** — When enabled, the model captures recurring seasonal patterns.
* **Forecast events** — Promotions, launches, or market shifts that you define in [Forecast events settings](/settings/forecast-events).

### Reading the forecast in the Demand module

In the product detail view of the [Demand](/modules/demand) module, you can toggle several forecast-related series:

* **Flowlity forecast** — The AI-generated probabilistic forecast, shown with a shaded confidence interval.
* **Final forecast** — The value actually used downstream in Planning. This is either the Flowlity forecast or your manual override ("My forecast").
* **My forecast** — Where you can manually override the AI forecast for any period.
* **Raw past demand (N-1) / (N-2)** — Optional overlays of raw demand from one and two years ago, aligned to the current period. They make it easy to check how the current forecast aligns with what actually happened in previous years and to validate seasonality.

When "My forecast" has a value for a period, it replaces the Flowlity forecast as the final forecast for that period.

### Forecast accuracy

The **Forecast accuracy** view in the Demand module lets you compare past forecasts against actual demand. This helps you identify products where the AI performs well and products that may benefit from manual adjustments or additional data (e.g. forecast events, similar products). ### Agents involved

* **Forecast Agent** — Powers the probabilistic forecasting engine. Runs weekly.
* **Demand Anomaly Agent** — Cleans historical demand by detecting and replacing outliers, shortages, and promotional spikes. Runs weekly.
* **Product Similarity Agent** — Finds the top 5 most similar products to improve forecasts for new or sparse items. Runs weekly.

# Forecast events and demand adjustments

Events lifecycle, anomaly detection, and demand adjustments.

Forecast events and demand anomaly corrections are the two main ways the demand forecast gets adjusted beyond the AI's baseline prediction. Events are created by you; anomaly corrections are proposed by the Demand Anomaly Agent. Both feed into the final forecast visible in the Demand module.

### Forecast events lifecycle

A forecast event models a one-off or recurring occurrence that affects demand — promotions, product launches, market disruptions, or seasonal campaigns.

1. **Create** — Define the event in [Forecast events settings](/settings/forecast-events), or directly from the **Forecast events** row in the [Demand](/modules/demand) product detail data table. You can create a brand-new event or link to an existing one. The impact can be expressed as a percentage or in units.
2. **Link to products** — Select which products are affected, either individually or by tag. When creating from the Demand detail view, the current product (or aggregation of products) is pre-filled. You can optionally scope the event to specific customers.
3. **Impact on forecast** — During the event period, Flowlity adjusts the demand forecast for the linked products by the specified amount. The adjustment appears as the "Events" series in the Demand chart and "Forecast events" row in the data table.
4. **Edit or delete** — Click an existing event in the data table row or directly on the chart to open the edit dialog. Changes apply to all linked products.

### Anomaly detection and cleaning

The Demand Anomaly Agent runs weekly and identifies three types of anomalies in your historical demand:

* **Outliers** — Unusual demand peaks that don't reflect typical patterns.
* **Shortages** — Zero-demand periods caused by stockouts (not genuine lack of demand) or periods where stock below lot size suppressed sales.
* **Smooth past promotions** — Promotional spikes that are smoothed out to give a cleaner baseline for forecasting.

Each anomaly correction can be:

* **Accepted** — The correction is applied to cleaned past demand.
* **Rejected** — The original raw value is kept.
* **Not treated** — No action taken yet.
* **Modified** — You adjusted the agent's proposed value.

### How events and anomalies interact

Forecast events affect future demand (forward-looking), while anomaly corrections clean historical demand (backward-looking). Both ultimately influence the final forecast:

* Cleaned historical demand feeds into the AI model, so anomaly corrections improve future forecast accuracy.
* Forecast events add explicit adjustments on top of the AI forecast for known upcoming changes.

### Configuration

In the [Agents](/modules/agents) module, you can configure the Demand Anomaly Agent to handle corrections **automatically** (accept all suggestions) or **manually** (review each one). You can also activate or deactivate specific anomaly types.

# Product similarities

How Flowlity links similar products to enrich demand history and improve forecasts.

When a product is new, has sparse demand history, or is replacing another product, forecasting from its own data alone may not be enough. **Product similarities** let you link related products together so that their demand history feeds into the forecast of the target product — giving the engine more data to work with and producing better predictions.

### Why it matters

Accurate forecasting depends on having enough historical demand. In practice, many products lack this:

* **New product launches** — No past demand exists yet.
* **Product replacements** — The old product's history is highly relevant to the new one.
* **Seasonal or slow-moving items** — Limited data points make patterns hard to detect.

By linking a similar product, you transfer its demand history to the target product. The Forecast Agent then uses this enriched history alongside the product's own data to generate a more reliable probabilistic forecast.

### How similar products are linked

There are two ways to establish product similarities in Flowlity:

#### 1. AI recommendations (Product Similarity Agent)

The **Product Similarity Agent** automatically identifies the most similar products for each item in your catalog. It uses three complementary distance metrics, configured at the site level:

* **Category-based similarity** — Compares categorical attributes such as product name, description, or tag values. Products that share the same attributes are considered similar.
* **Text similarity** — Measures semantic closeness between text fields (name, description) using language models. For example, "red sports car" and "crimson racing vehicle" would score highly.
* **Numerical similarity** — Compares numerical values (e.g. average price) within a configurable threshold. A **price penalty threshold** defines the acceptable range — products outside this range receive a lower similarity score.

The agent combines these metrics and returns up to **5 recommended products** per item, each with a **similarity coefficient** (displayed as a percentage). Only recommendations above 30% similarity are shown.

The agent runs weekly and updates recommendations automatically as your catalog and data evolve.

#### 2. Manual linking

You can also add similar products manually from the **Demand module** using the **Product strategy** sidebar. This gives you full control and is especially useful for product replacements.

When linking products manually, you can configure:

* **Source product** — The product whose demand history will be used.
* **Coefficient** — A percentage that controls how much of the source's demand is transferred. For example, if two products are being consolidated into one, you might set 50% for each.
* **End date** (optional) — Makes the link active only until a specific date. Useful when a replacement is temporary or when the new product has accumulated enough of its own history.
* **Customer mapping** (optional) — If your site uses the customer axis, you can map source and target customers to control which demand streams are transferred.

### Viewing similar products demand

In the **Demand module**, you can visualize the impact of product similarities directly in the chart:

* Open **Table settings** (right-hand side of the screen).
* Enable the **Similar products past demand** line.

This line shows the demand history that is being contributed by linked similar products. It appears alongside **Cleaned past demand** (what the model uses) and **Raw past demand** (the unmodified signal from your data), giving you full transparency into what feeds the forecast.

### Current product ratio

Each product has a **current product ratio** setting (default 100%) that controls the balance between the product's own demand and the demand contributed by its similar products. Lowering this value gives more weight to the similar products' history.

# Supplier constraints and order management

How supplier constraints shape order generation in Flowlity.

Supplier constraints are the rules and limits that govern how orders are generated and structured in Flowlity. They ensure that planned supply orders respect real-world logistics — minimum quantities, delivery schedules, capacity limits, and closure periods.

### Constraint types

Constraints are defined per supplier in [Suppliers settings](/settings/suppliers) and can also be set per product-supplier combination in [Products](/settings/products):

* **Lead time** — The number of days between placing an order and receiving delivery. Flowlity uses lead time to calculate when an order must be placed to arrive on time.
* **Minimum order quantity (MOQ)** — The smallest quantity a supplier will accept per order. Orders are rounded up to meet this threshold.
* **Order multiple** — Orders must be placed in multiples of this value (e.g. if the multiple is 50, you can order 50, 100, 150, etc.).
* **Maximum order quantity** — An upper limit per order, if the supplier cannot handle larger shipments.
* **Full truck quantity** — The quantity that fills a truck, shown in the Supply Orders detail panel to help you optimize logistics costs.

Constraints can be edited directly from the application. Open the Product details panel, click Edit, and make changes in the Suppliers tab.

### Supplier closures

Suppliers can have closure periods — dates when they cannot process or ship orders. When a closure overlaps with a planned order date, Flowlity pushes the order forward to account for the gap.

Closures are managed in the supplier's detail panel under the **Site closures** tab, or from the [Site closures](/settings/site-closures) settings page. Closures can also be visualized in the Planning module — by hovering over relevant week cells or within the Inventory tab of the Product strategy panel.

### How constraints affect planning

The Planning Agent runs daily and takes all supplier constraints into account when generating supply orders:

1. **Timing** — Lead time determines the order placement deadline shown in Supply Orders.
2. **Quantity rounding** — Planned quantities are adjusted to satisfy MOQ and order multiple rules.
3. **Splitting** — If a quantity exceeds the maximum order quantity, the order may be split across multiple deliveries.
4. **Closure shifting** — Orders that fall during a supplier closure are moved to the next available date.

These adjusted orders appear in the [Planning](/modules/planning) module as planned supply orders and flow into [Supply Orders](/modules/supply-orders) for validation.

# KPIs

Add KPI columns to the Demand and Planning product lists to sort, filter, and monitor your portfolio.

KPIs are custom columns you can add to the product list in the Demand and Planning modules. They let you surface key metrics — like past demand, forecast values, inventory levels, or overstock amounts — directly in the table, so you can sort and filter your product list by any metric that matters to your workflow.

### Where KPIs live

KPIs appear in the **Columns** sidebar, accessible from the product list in Demand or Planning. The sidebar has several tabs (All, General, Demand, Inventory, Tag categories, **KPI**). The KPI tab shows:

* **Fixed recommendations** — Pre-built KPI columns ready to toggle on, such as:
  * Firm demand (value or quantity, various periods)
  * Past demand (value or quantity, sum or trend, various periods)
  * Final forecast (value or quantity, sum or trend, various periods)
  * Flowlity forecast (value, various periods)
  * Flowlity forecast MAE / MAPE / FVA (accuracy metrics)
* **Custom KPIs** — KPIs you have created using the **+ Create KPI** button.

Toggle any KPI on to add it as a column in the product list. Once visible, you can **sort** and **filter** by that column, just like any other column.

### Creating a custom KPI

Click **+ Create KPI** at the bottom of the KPI tab in the Columns sidebar. The creation dialog has three fields:

1. **Data source** — The metric you want to track. Available sources include:
   * Firm demand
   * Past demand
   * Final forecast
   * External forecast
   * My forecast
   * Flowlity forecast
   * Supply Orders
   * Inventory level
   * Overstock
2. **Data measure** — Choose between **Value** (in your currency, e.g. €) or **Quantity**. When you pick **Quantity**, you can also choose the **unit** for that column, so each KPI column can be read in the unit that suits it (for example one column in pieces and another in pallets).
3. **Period** — The time window for the calculation. In addition to monthly and yearly periods (e.g. last 3 months, next 12 months), short-term periods are also available: Next 7 days, Next 14 days, and Next 30 days.

Click **Save** to create the KPI. It immediately appears in the KPI tab of the Columns sidebar, ready to be toggled on.

### Using KPIs in your workflow

Once KPI columns are visible in the product list, you can:

* **Sort** — Click the column header to sort products by that KPI (ascending or descending). For example, sort by "Past demand (qty) last 12m, sum" to find your highest-volume products.
* **Filter** — Combine KPI columns with existing filters (tags, suppliers, alerts) to focus on specific segments.
* **Compare** — Add multiple KPI columns side by side to compare metrics. For example, add both "Past demand last 12m" and "Final forecast next 12m" to spot growing or declining products.
* **Save in a view** — Your column selection is part of the view configuration. Save a custom view to preserve your KPI column layout for quick access.

### Tag-based KPI view

KPIs can also be displayed by tag category for an aggregated view. This lets you see inventory levels, year-over-year trends, and other metrics grouped by your classification tags (e.g. ABC class, product family). The tag-based KPI view is accessible from the Dashboard module.

# Metrics glossary

What each metric in Flowlity means and how to interpret it.

This page defines every metric you will encounter in Flowlity — in KPI columns, the Dashboard, and product detail views — and explains how to read them.

### Forecast accuracy metrics

These metrics measure how close a forecast was to actual demand. They are available for three forecast sources (Flowlity forecast, Final forecast, External forecast) and several lookback periods (last 30 days, 90 days, 180 days, 12 months).

#### MAPE (Mean Absolute Percentage Error)

MAPE measures the average percentage difference between the forecast and actual demand:

> **Formula:** ABS(demand − forecast) / demand, expressed as a percentage.

A MAPE of 0 % means the forecast was perfect. The lower the value, the better the forecast.

Flowlity calculates three variants of MAPE:

| Variant        | How it works                                                                                                                                       |
| -------------- | -------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Aggregated** | Compares the cumulated forecast against the cumulated actual demand across all products. Products with larger volumes naturally carry more weight. |
| **Average**    | Computes MAPE per product and then averages across products, giving every product equal weight regardless of volume.                               |
| **Weighted**   | Computes MAPE per product but weights each product by its actual demand, so high-demand products have more influence on the result.                |

You can see MAPE variants on the Dashboard's **Forecast accuracy** chart, and as KPI columns in the Demand and Planning product lists.

There is no universal "good" MAPE — it depends on your industry and product mix. As a rough guide, under 20 % is generally considered good for consumer goods and under 10 % is excellent. Focus on comparing products against each other and tracking trends over time rather than chasing an absolute target.

#### MAE (Mean Absolute Error)

MAE measures the average absolute difference between the forecast and actual demand in quantity units:

> **Formula:** ABS(demand − forecast), in quantity (pieces, cases, kg, etc.).

Unlike MAPE, MAE gives you an error in real units, which makes it easier to understand the business impact. For example, an MAE of 50 units tells you the forecast is off by 50 units on average. MAE is available as a KPI column with the same sources and periods as MAPE.

Use MAPE to compare accuracy across products of different scales. Use MAE when you need to know the actual volume of the error — for instance, when sizing safety stock or estimating the cost of forecast errors.

#### FVA (Forecast Value Added)

FVA tells you whether the forecast is better than a simple statistical baseline — a rolling average of the previous three months:

> When FVA is **positive**, the forecast outperforms the baseline by that percentage. When FVA is **negative**, the baseline would have been more accurate.

A negative FVA signals that the forecast may need attention — for example, the product might benefit from forecast events, manual adjustments, or a review of its demand history.

### Demand predictability

Demand predictability is a per-product score that reflects how much usable demand history is available for forecasting. It appears as a column in the Demand product list and can be used to filter products in automations.

| Level      | What it means                                                                                                                         |
| ---------- | ------------------------------------------------------------------------------------------------------------------------------------- |
| **High**   | Flowlity provides the best forecast — demand history is rich and stable.                                                              |
| **Medium** | Flowlity provides a good forecast, but demand has shown erratic behavior. Consider reviewing forecast events or adjustments.          |
| **Low**    | Past demand data is limited. The forecast may be less reliable — manual review is recommended.                                        |
| **No**     | No past demand data is available. Flowlity cannot generate a forecast. Consider linking similar products to bootstrap demand history. |

Use Demand predictability to prioritize your review effort. Let High-predictability products run on autopilot and spend your time on Medium and Low products where manual input can make the biggest difference.

### Stock and inventory metrics

#### Stock coverage

Stock coverage tells you how many days your current stock will last based on the forecasted demand. Flowlity calculates it by accumulating the forecasted demand day by day and counting how many days pass before the stock is depleted.

It appears on the Dashboard, in the Planning product list, and in supply order detail views.

Compare stock coverage to your supplier lead time. If coverage is shorter than the lead time, you risk a stockout before the next delivery arrives. If coverage is much longer, you may be holding excess inventory.

#### Zero stock days

Zero stock days is the average percentage of days without any stock, calculated on MTS (Make-to-Stock) products only. It is available for past periods (last 30 days, 3 months, 6 months, 12 months) and as a projection for the next year.

A decreasing trend in zero stock days means your planning and replenishment are improving. This metric appears on the Dashboard.

#### Inventory level

Inventory level is the stock level measured at the end of each month, available in both value (currency) and quantity. It is displayed on the Dashboard.

Track inventory level alongside demand trends. Rising inventory with flat or declining demand may signal an overstock situation that needs attention.

### Dashboard summary metrics

#### Demand plan

The total final forecast for the selected scope (sites, tags) and period, available in value and quantity. It represents the demand your supply chain needs to fulfill.

#### Supply plan

The sum of firm and projected supply orders for the selected scope and period, available in value and quantity. It represents the supply side of your plan and can be compared against the demand plan to check balance.

### Service level

Service level is the percentage of demand that is fulfilled over a defined horizon. For example, if demand is 100 units and 95 units are delivered, the service level is 95 %.

In Flowlity, service level is a **target you set** — it is configured per product or as a site-wide default in [Buffer policy settings](/settings/buffer-policy). Flowlity uses this target to calculate how much safety stock to hold: a higher service level target means a larger buffer.

Service level drives your safety stock. A jump from 95 % to 99 % can significantly increase the required buffer. Choose a service level that balances customer satisfaction with inventory cost — and consider setting different targets for different product categories using buffer policies.

# Comments

The shared comment panel for cross-module collaboration on a product.

Comments let you collaborate with your team directly within Flowlity. The comment panel is a side panel opened via the speech-bubble icon available in the product detail view of the Demand, Planning, and Supply Orders modules.

### How comments work

* **Shared across modules** — A comment left on a product in the Demand module is visible from the same product in Planning and Supply Orders. There is one comment thread per product, not per module.
* **@mentions** — Tag colleagues to notify them about a specific product or decision.
* **Contextual discussion** — Use comments to discuss forecast overrides, order adjustments, or any decision that benefits from a written trace.

The comment panel is available wherever you open a product detail view:

# Set up and manage views

Create a custom view, configure filters, sorting, and columns, and use it as an automation scope.

This guide walks you through creating a custom view in the Demand, Planning, or Supply Orders module, configuring its filters, columns, and sorting, and optionally using it as the scope for an automation.

#### Open the Demand, Planning, or Supply Orders module

Navigate to [Demand](/modules/demand), [Planning](/modules/planning), or [Supply Orders](/modules/supply-orders) from the left sidebar. You will see the built-in view tabs at the top of the list (Default, Forecast accuracy, Outliers, etc.). Views work the same way across all three modules. The **Default view** opens with a curated set of columns and filters, so you start from a clean, ready-to-use layout that you can adjust before saving your own view.

#### Apply filters

Use the filter bar below the view tabs to narrow the product list. You can combine multiple filters:

* **Tags** — Select one or more tags or tag categories.
* **Suppliers** — Filter by supplier.
* **Alerts** — Show only products with active alerts.
* **Name or reference** — Free-text search.

The product list updates in real time as you add filters.

#### Sort by a column

Click any column header in the product list to sort by that column (ascending or descending). Sorting works on all columns — including [KPI columns](/concepts/kpis) you have added. For example, sort by "Past demand (qty) last 12m" to find your highest-volume products at a glance.

#### Filter by KPI columns

KPI columns offer an additional level of filtering beyond the top filter bar. Once a KPI column is visible in the product list, you can filter its values to focus on a specific range — for example, show only products where "Final forecast next 3m" exceeds a threshold. #### Save as a custom view

Once you are satisfied with your filter combination, columns, and sorting, click the **+** button next to the existing view tabs. The **Add new view** dialog gives you two options:

* **Create new** — Build a view from scratch. Enter a **Name** and optionally check **Show for all users in demand page** (or planning page) to make the view appear automatically for every user on the site. Users can then remove or duplicate it in their own environment.
* **Select from existing** — Browse views created by other users and add one to your own tabs.

Click **Save** to confirm. The new view appears as a tab alongside the built-in views. A view saves your current filters, column selection, and sorting settings.

#### Edit or delete a view

To modify a saved view, select it, adjust the filters, columns, or sorting, and save again. To delete a view, open its options and choose delete.

When you check "Show for all users", the view appears for everyone automatically, but each user can remove or duplicate it without affecting others.

#### Use a view as automation scope (optional)

When creating an automation in the [Automations](/modules/automations) module, the **Scope** field lets you select any saved view from Demand or Planning. The automation will apply its actions only to the products that match that view's filters.

If you later change the view's filters, the automation's scope changes too — keep this in mind when editing shared views.

# Configure your inventory strategy

Choose a strategy, set it on a product, configure buffer policy, and verify in Planning.

This guide walks you through selecting an inventory strategy for a product, setting the appropriate buffer policy parameters, and verifying that the result looks correct in the Planning module.

**Understand your options**

Flowlity offers five inventory strategies. Review [Inventory strategies](/concepts/inventory-strategies) to understand the trade-offs:

* **MTS Flowlity AI** — AI-optimized safety stock based on a target service level.
* **MTS My min** — Fixed minimum stock you define manually.
* **MTS Reorder point** — Classic reorder-point policy.
* **MTS Reorder point + AI** — Reorder point enhanced with AI adjustment.
* **MTO** — Make-to-order, no stock held.

**Set site-level defaults in Buffer Policy**

Go to **Settings >** [**Buffer Policy**](/settings/buffer-policy). For each strategy type, configure the default buffer parameters (e.g. service level for MTS Flowlity AI, minimum stock for MTS My min). These defaults apply to all products using that strategy unless overridden.

**Assign the strategy to a product**

Go to **Settings >** [**Products**](/settings/products) and click the product you want to configure. Open the **Inventory strategy** tab:

* Select the **Strategy type** from the dropdown.
* Review the **Buffer policy** parameters. They inherit from the site-level defaults. Adjust them here if this product needs different values.
* Set any **Reorder parameters** required by the chosen strategy (reorder point, reorder quantity, target days of stock, etc.).

**Verify in Planning**

Navigate to the [Planning](/modules/planning) module and search for the product. Open its detail view and check:

* **Flowlity Min / Flowlity Max** — The AI-computed stock corridor should reflect your chosen strategy and service level.
* **Planned supply orders** — Orders should be generated in line with the strategy's logic.
* **Stock trajectory** — The projected stock line should stay within the corridor under normal conditions.

If the corridor looks too wide or too narrow, go back to the product's Inventory strategy tab and adjust the buffer parameters.

# Create and apply forecast events

Create forecast events and past demand adjustments from Settings or directly from the Demand module.

Forecast events can be created and edited in several places: from the Settings page for bulk management, or directly from the Demand product detail view for quick, contextual adjustments. This guide covers all the ways to work with events.

### Option A — Create from Settings

Go to **Settings >** [**Forecast events**](/settings/forecast-events) and click **Create**. This is the best approach when you want to create an event that spans many products or when you are managing events in bulk.

* **Name** — A descriptive name (e.g. "Summer sale 2025").
* **Description** — Optional details about the event.
* **Start date / End date** — The period during which demand will be affected.
* **Impact** — The expected change in demand, expressed as a **percentage** (e.g. +30 %) or in **units**.
* **Products** — Select individual products or use tags.
* **Customers** — Optionally scope the event to specific customers.

You can also link events from the product side: go to **Settings >** [**Products**](/settings/products), open a product, and use the **Events** tab to associate existing events.

### Option B — Create from the Demand data table

Open the [Demand](/modules/demand) module, click on a product (or select multiple products to view their aggregation), and scroll to the **Forecast events** row in the data table below the chart.

Click the **+** button in any period cell to open the **Add forecast event** dialog. It has two tabs:

* **Create new** — Build an event from scratch. Fill in the name, description, start/end date, impact on forecast (% or units), products (pre-filled with the current product or aggregation), and customer scope.
* **Select from existing** — Browse and search existing events by name. Each event shows its date range, impact, and customer count. Selecting one links it to the current product(s).

Click **Create** or **Save** to confirm. The event immediately appears in the Forecast events row and on the chart.

### Option C — Add a past demand adjustment from the chart

In the product detail view, click the **+** icon on the chart timeline to add a **past demand adjustment**. This lets you correct historical demand for a specific period on the current product.

* **Name** — A descriptive name for the adjustment.
* **Description** — Optional details.
* **Start date / End date** — The historical period to adjust.
* **Past demand value** — The corrected demand value (in units).

Past demand adjustments modify the cleaned demand history, which in turn improves future forecast accuracy.

### Edit an existing event

You can edit events from two places in the Demand product detail view:

* **From the data table** — In the Forecast events row, click on an existing event chip (showing the event name and impact). This opens the **Edit forecast event** dialog where you can modify all fields or **Delete** the event entirely.
* **From the chart** — Click on an event displayed on the chart (shown as vertical markers with the event name and impact). This opens the same edit dialog.

Both methods work for single products and for aggregations of multiple products. When editing an event linked to multiple products, changes apply to all linked products.

### Verify the impact

After creating or editing an event:

* Toggle the **Events** series on the chart to see the event period highlighted.
* Check the **Forecast events** row in the data table to confirm the adjustment is applied during the correct periods.
* Review the **Final forecast** to ensure it reflects the event's impact.

# Review and validate supply orders

Review planned orders, check constraints, adjust quantities, and release orders.

This guide walks you through the process of reviewing supply orders generated by Flowlity, checking supplier constraints, adjusting quantities when needed, and validating orders for release.

**Review planned orders in Planning**

Start in the [Planning](/modules/planning) module. Open a product's detail view and look at the chart:

* **Planned supply orders** (light bars) — Orders recommended by Flowlity that are not yet validated.
* **Firm supply orders** (dark bars) — Orders already confirmed and committed.

Check that the projected **Stock** line stays within the **Flowlity Min/Max** corridor. If stock dips below Flowlity Min, there may not be enough planned orders. If it goes well above Flowlity Max, you may have excess.

**Open Supply Orders**

Navigate to [Supply Orders](/modules/supply-orders). Start on the **Planned** tab to see all orders waiting for review.

* **Orders view** — Review orders grouped by supplier and delivery date. Check the order count and total quantity.
* **Order lines view** — Switch to this view for product-level detail across all orders.

**Check supplier constraints**

Click on an order to open the detail view. The **Order details** side panel shows:

* **Order placement deadline** — When the order must be placed to meet the delivery date, based on lead time.
* **Full truck quantity** — Target quantity for optimizing logistics costs.
* **Supplier MOQ** — Minimum order quantity the supplier accepts.
* **Order frequency** — How often the supplier accepts orders.

Compare the order quantity against these constraints. Flowlity's Planning Agent already accounts for them, but it's good practice to verify.

**Adjust quantities if needed**

In the order detail view, each order line has an editable **quantity** field. Adjust quantities when:

* You want to consolidate orders to meet full truck quantity.
* Business knowledge suggests a different quantity than what the AI recommends.
* A customer has communicated a change in requirements.

**Validate and release**

Once you are satisfied with the order:

1. Click **Validate** to move the order from Planned to Validated.
2. When ready to send to the supplier or production floor, move it to **Released**.
3. Track delivery in the **Delivered** tab once goods are received.

Use the **Review** button in Planning to mark products as reviewed before moving to Supply Orders. This helps track which products have been checked in the current planning cycle.

# Set up an automation

Create an automation, pick a view scope, define actions and schedule, and monitor runs.

This guide walks you through creating an automation that runs on a schedule, applies actions to a set of products, and can be monitored over time.

**Prepare a view for the scope**

Automations target a saved view from the Demand or Planning module. If you don't already have a suitable view, create one first — see [Set up and manage views](/how-tos/set-up-views).

The view's filters determine which products the automation will process. For example, a view filtering for "Overstock" products means the automation will only act on products currently flagged as overstock.

**Create the automation**

Go to the [Automations](/modules/automations) module and click **Create one automation**. Fill in:

* **Name** — A descriptive name (e.g. "Weekly overstock buffer adjustment").
* **Scope** — Select the saved view you prepared in the previous step.
* **Schedule** — Configure when the automation runs:
  * **Repeat** — Frequency (e.g. every week).
  * **On** — Days of the week.
  * **At** — Time of day.
  * **Ends** — Optional end date.
* **Action** — Define what the automation does. Use **+ Add action** to add one or more actions (e.g. set a buffer policy, apply a tag, trigger an alert).

Click **Create & Activate** to save and immediately enable the automation.

**Verify the first run**

After the first scheduled run (or trigger one manually using the **Run manually** button):

1. Open the automation's detail panel.
2. Switch to the **Runs** tab.
3. Check the run status — it should show *Successfully* with the number of products processed.

If the run shows an error, review the automation's scope and action configuration.

**Monitor ongoing runs**

The automation list shows the **Last run / Next run** dates and total **Runs** count for each automation. Use the **Runs** tab in the detail panel to review the history of all past executions.

Spot anomalies, review agent suggestions, and accept or reject corrections.

This guide walks you through identifying demand anomalies, reviewing the corrections proposed by the Demand Anomaly Agent, and deciding whether to accept or reject them.

Open the [Demand](/modules/demand) module and switch to the **Outliers** view tab. This built-in view surfaces products where the Demand Anomaly Agent has detected unusual demand patterns.

Browse the list and click on a product to open its detail view.

**Compare cleaned vs raw demand**

In the product detail chart, toggle on both:

* **Cleaned past demand** — The demand after Flowlity has removed anomalies.
* **Raw past demand** — The original, unmodified demand data.

Periods where the two lines diverge are where the agent proposed corrections. The **Anomaly adjustments impact** row in the data table shows the exact difference per period.

**Review agent suggestions**

Go to the [Agents](/modules/agents) module and open the **Demand Anomaly Agent** card. The "How it works" tab shows a summary of all recent adjustments, broken down by type:

* **Outliers** — Unusual peaks.
* **Shortages** — Zero-demand periods caused by stockouts.
* **Smooth past promotions** — Promotional spikes smoothed out.

Each adjustment has a status: **Accepted**, **Rejected**, **Not treated**, or **Modified**.

**Accept or reject corrections**

For each anomaly, decide whether the agent's correction is appropriate:

* **Accept** — The correction replaces the raw demand in cleaned past demand, improving future forecast accuracy.
* **Reject** — The original raw value is kept. Use this when the anomaly reflects genuine demand (e.g. a real one-time order, not noise).
* **Modify** — Adjust the agent's proposed value to a number you consider more accurate.

In the Agents module, open the Demand Anomaly Agent's **Configuration** tab. You can:

* **Activate or deactivate anomaly types** — Turn off detection for specific types if they aren't relevant.

An overview of every module available in Flowlity.

Flowlity is organized into distinct modules, each addressing a specific step of the supply chain planning process. From demand forecasting to order management, every module is accessible from the left sidebar of the application. Select a module below to learn more about what it does and how to use it.


# Dashboard

Your supply chain at a glance.

The Dashboard is the first screen you see when you open Flowlity. It provides a high-level summary of your supply chain performance through key KPIs and trend charts, helping you quickly assess the health of your operations without diving into individual products.

### What you'll find here

The Dashboard displays a KPI panel at the top with four core metrics: inventory level, zero stock days, stock coverage, and past demand. Each KPI shows an average or sum value for a configurable period, alongside a percentage comparison with a previous period (e.g., same period last year) so you can spot trends immediately.

Below the KPIs, time-series charts visualize inventory level, zero stock days, and stock coverage over time, giving you a clear picture of how your supply chain is evolving.

### Multi-site breakdown

When multiple sites are selected, KPI charts break down data per site — with stacked areas for inventory, demand, and supply metrics, and overlaid curves for stock coverage and zero-stock KPIs.

### Workflow Views

A dedicated section displays your custom Demand, Planning, and Order views, grouped by name with per-site product counts. Use it to quickly assess your entire workflow at a glance.

### Tag-based KPI view

KPIs can be displayed by tag category, giving you an aggregated view of inventory levels, year-over-year trends, and other metrics grouped by your classification tags.

### KPI display toggle

KPI tiles can be switched between **value** (currency) and **quantity** display using the toggle at the top of the dashboard, bringing consistency with the line charts that already support this switch.

### Export

Dashboard chart data can be downloaded in **CSV, XLSX, or TSV** format directly from each chart, making it easy to share KPI snapshots or run further analysis externally.

### Orders KPI view

The Dashboard includes a dedicated view for **supply orders and order lines**, giving the same high-level KPI visibility as the Demand and Planning views — showing order volumes, values, and trends over the selected period.

### Multi-tag filtering

When filtering by tags, you can select multiple tags simultaneously. The Dashboard applies **intersection logic** — showing only products that match all selected tags — enabling more precise analysis of specific product segments.

### Chart horizon and persistent settings

Charts can display data up to **12 months ahead** (previously limited to 6), with a flexible horizon selector. Your dashboard preferences — horizon, granularity, selected tags, KPI display mode, and hidden views — are automatically saved and restored across sessions and devices.

### When to use it

The Dashboard is your daily starting point. Use it to check overall performance before diving into specific modules, to prepare for management reviews, or to quickly verify that key indicators are within acceptable ranges. You can filter the view by tags or warehouse to focus on specific subsets of your portfolio.

# Analytics

In-depth supply chain dashboarding and data monitoring.

The Analytics module provides a deeper, customizable view of your supply chain data. While the Dashboard gives you a quick KPI summary, Analytics lets you monitor data synchronization, data quality, alerts, and detailed performance breakdowns across all your sites.

### Data sync

The Data sync section shows when your data was last received and integrated, so you always know how up-to-date the information in Flowlity is. It includes two panels:

* **Data synchronization (UTC)** — A table listing each data source (e.g. actual demand, categories, purchase orders, forecasts) with its schema name and last sync date. This lets you quickly verify that all feeds are current.
* **Data Quality Report (Beta)** — Highlights potential data quality issues at the site and product level, helping you catch problems before they affect forecasts and planning.

### Global Overview

The Global Overview section aggregates key metrics across all your sites, giving you a consolidated picture of your supply chain performance without needing to switch between individual locations.

### Alerts

The Alerts section answers one simple question: will it be a good or a bad week for the planner? It surfaces exceptions and anomalies that need attention, so you can focus your time where it matters most.

### When to use it

Use Analytics when you need to go beyond the high-level KPIs on the Dashboard. Typical use cases include verifying data freshness after a new integration, reviewing data quality before a planning cycle, checking cross-site performance, or investigating alerts flagged by the system.

# Demand

Explore demand forecasts by product, tag, or customer.

The Demand module is where you explore and manage your demand forecasts. It lets you browse your full product catalog, review AI-generated probabilistic forecasts alongside historical demand, and adjust the final forecast when needed. Depending on your setup, you may also see **Firm Demand** (confirmed orders from your ERP) and an **External Forecast** (imported from MRP or other sources) alongside the AI forecast. You can switch between three dimensions — **Product**, **Tag**, and **Customer** — to analyze demand at the granularity that suits your workflow. The Demand module supports **multi-site work**: when multiple sites are selected, you can review, challenge and edit forecasts for all your sites in a single workspace, with each product clearly identified by its site.

### Dimensions

Use the **Dimension** toggle in the top-right corner to switch how demand data is organized:

* **Product** — Lists every product (SKU) for the selected site. Each row shows the reference number and product name. When multiple sites are selected, each product also displays which site it belongs to. This is the default view and the most granular level of analysis.
* **Tag** — Groups products by tag. Each row displays the tag name, its tag category, and the number of products it contains. Selecting a tag opens an **aggregated demand curve** that combines the demand of all products under that tag. Use this view to analyze demand at a higher level (e.g. by product family, ABC class, or any custom grouping). Multi-site selection is supported in the Tag view, so you can group and review tags across several sites at once.
* **Customer** — Displays demand broken down by customer, useful when your forecasting process is customer-driven.

### Views and filters

The Demand module comes with several built-in views accessible as tabs at the top of the page:

* **Default view** — The standard product list.
* **Forecast accuracy** — Highlights how well past forecasts matched actual demand.
* **New products** — Surfaces recently added products that may need attention.
* **Outliers** — Flags products with unusual demand patterns.

You can also create custom views using the **+** button.

Use the **Columns** sidebar to customize which columns are displayed in the list — choose from general product info, demand metrics, and inventory columns. See [KPIs](/concepts/kpis) for a full reference of available metrics. One notable column is **Demand Predictability**, a Flowlity-computed score that indicates how stable or variable a product's demand pattern is.

To narrow down the list, use the filter bar to search by name or reference, or filter by **Tags**, **Suppliers**, **Alerts**, and more. Hovering over a product row shows its values instantly converted to any configured alternate unit (Multi-Unit Display).

#### Display units

You can actively switch the display unit in the places where you work every day, not just preview it on hover:

* **Aggregated list** — Switch the unit of the aggregated demand list to read figures in any unit configured for your products (for example pallets instead of pieces).
* **Per-product detail grid** — Switch the unit of the detail grid independently, so you can rearrange volumes in one unit while keeping sight of each product.
* **Value modes** — The unit selector also offers two € value modes: **sales price** and **purchase price**. In a value mode, each product's quantities are multiplied by its own price before summing, so editing is disabled; switch back to a unit (or open a single product) to edit again.

The active unit also appears in the forecast chart tooltips, so it is always clear which unit you are reading.

*To configure additional units for your products, reach out to your Customer Success or Account Manager.*

### Product detail view

When you click on a product from the list, you open the product detail view — the core of the Demand module. It is split into two parts: a **chart** and a **data table**.

#### Chart

The chart displays your demand history and forecasts over a configurable time range. Past data is shown as **solid lines** and future data as **dotted lines**. Several series can be toggled on or off:

* **Cleaned past demand** — Historical demand after Flowlity has removed anomalies and noise.
* **Raw past demand** — The original, unmodified demand data as received from your system.
* **Raw past demand (N-1)** and **Raw past demand (N-2)** — Overlays of raw demand from one and two years ago, aligned to the current period. Turn them on to compare the current forecast with what actually happened in previous years, validate seasonality, and spot unusual patterns at a glance. You can hide an overlay again by clicking its entry in the legend at the top of the chart.
* **Similar products past demand** — Demand from comparable products, used by the AI to improve forecasts for new or sparse items.
* **Final forecast** — The forecast that will be used downstream in Planning. It is computed as `max(Firm Demand, My Forecast or Flowlity Forecast)`, ensuring confirmed demand always acts as a floor.
* **Flowlity forecast** — The AI-generated probabilistic forecast, shown with a **confidence interval** that captures the range of likely outcomes.
* **Firm Demand** — Confirmed orders or consumption imported from your ERP. In the near term, Firm Demand acts as a floor on the Final Forecast.
* **External Forecast** — An optional imported forecast (e.g. from MRP or marketing) displayed for reference only; it does not feed into the Final Forecast.
* **Events** — External events (e.g. promotions, market shifts) that may influence demand.

#### Data table

Below the chart, a table shows the same data in numeric form, broken down by period (e.g. monthly). You can switch between **Combined table** and **Split table** layouts. Key rows include:

* **Cleaned past demand** / **Raw past demand** — Compare what Flowlity cleaned versus the raw input.
* **Similar products past demand** — Contribution from similar products when applicable.
* **Anomaly adjustments impact** — Shows where Flowlity detected and corrected anomalies.
* **Final forecast** — The value that feeds into Planning.
* **Firm Demand** — Confirmed orders or consumption by period, imported from your ERP.
* **External Forecast** — Imported forecast by period (e.g. from MRP or marketing), shown for reference.
* **My forecast** — Your manual forecast override. You can enter values by editing cells directly, uploading an Excel file, or via integration. When working at an aggregated level (tag), input is automatically disaggregated to the product level. Even with a manual override, Firm Demand still acts as a floor on the Final Forecast.
* **Flowlity forecast** — The AI-generated forecast, marked as **Active** when it is driving the final forecast.
* **Forecast events** — Impact of events on the forecast.

### Actions

* **Keyboard navigation** — Use the left/right arrow keys to cycle through products without returning to the list.
* **Export** — Download demand and forecast data to CSV. See [Downloads](/settings/downloads) for more details.
* **Bulk tag assignment** — Select multiple products from the list and assign or remove tags in one step, without opening each product individually.
* **Bulk similar product update** — Update the current product ratio and end date of similar product usage across multiple products at once, directly from the product list.
* **Remove all MyForecast** — Clear manual forecast overrides for multiple products in a single action, returning those products to the Flowlity AI forecast. Useful when switching back after a period of manual forecasting.

### Forecast Studio

Forecast Studio is a dedicated workspace to build, test, and adjust forecasts at the product level. It combines Flowlity's global intelligence with your local expertise through two complementary layers:

* **Foundation Model** — A global model trained on all your data to capture broad patterns (seasonality, trends, correlations, external signals). It provides the baseline forecast.
* **Expert Models** — Product-level models applied on top of the Foundation forecast to refine it based on your operational knowledge.

#### What you can do

* **Tailor forecasts to each product** — Apply one or more Expert Models on top of the Foundation forecast and see the result instantly.
* **Recompute forecasts on demand** — Trigger a new forecast for a product or selection at any time, without waiting for the weekly run.
* **Apply Expert Models at scale** — Select multiple products or an entire tag and apply an Expert Model to all of them at once, accelerating the rollout of forecasting strategies across large catalogues.
* **Simulate and compare scenarios** — Switch models or adjust parameters to see the impact immediately, so you can make better decisions faster.

#### Available Expert Models

* **Average of recent periods** — Calculates the average demand over a selected period.
* **Average + Trend** — Adds a growth or decline percentage on top of the average of recent periods.
* **Seasonality** — Replicates a past period into the future.
* **Manual Seasonality** — Creates a seasonality profile with or without an annual trend, based on the average demand of a selected period.
* **Intermittent** — Handles sporadic demand by combining occurrence frequency with average demand volume.
* **Auto Model** — Automatically detects trend and annual seasonality.
* **Launch Model** — Designed for new products: learns the launch pattern of similar products, identified by Flowlity or selected manually.

#### Simulation credits

Forecast simulations are governed by a company-level credit system, ensuring fair usage and predictable costs.

### When to use it

Use the Demand module as your starting point in the planning workflow. Start from the product list to identify items that need attention (outliers, new products, low forecast accuracy), then open the product detail view to analyze the demand history, review the AI forecast and its confidence interval, and adjust the final forecast when needed — before moving on to the Planning module. Use the **Demand Predictability** score to prioritize which products deserve a closer review.

# Planning

Turn forecasts into optimized inventory and supply plans.

The Planning module is where demand forecasts turn into action. It shows your projected stock levels, reorder points, and supply orders over time, giving you a clear picture of what needs to be ordered, when, and in what quantity. Planning supports both Make-to-Stock (MTS) and Make-to-Order (MTO) strategies and lets you toggle Flowlity's optimization engine to dynamically compute optimal inventory policies. In short, this is where you answer: "Given the forecast and our inventory policies, how will our stock evolve — and what orders should we place, and when?" The Planning module supports **multi-site work**: you can monitor inventory, optimize replenishment and review supply across all your sites from a single workspace.

### Dimensions

Like the Demand module, Planning offers a **Dimension** toggle in the top-right corner:

* **Product** — Browse every product for the selected site with its reference and name. This is the default and most granular view.
* **Tag** — View planning data aggregated by tag, useful for reviewing stock health at a higher level (e.g. by product family or ABC class). In the tag view, an **Optimize all** button lets you re-run optimization across all visible products at once, and a **Save all** button commits all pending edits in a single action.

### Views and filters

Built-in views help you focus on what matters most:

* **Default view** — The standard product list with all planning data.
* **Stockout** — Surfaces products at risk of running out of stock.
* **Overstock** — Highlights products with excess inventory.

You can create additional custom views using the **+** button.

The filter bar lets you search by name or reference, and filter by **Tags**, **Suppliers**, **Alerts**, and more. The product list can also be **sorted by supplier or tag category** — click any supplier or tag category column header to sort, enabling faster navigation across large product scopes. Filtering by alerts is especially useful to prioritize items that need intervention. The Planning module defines the following alert types:

* **Above optimal stock** — Projected stock exceeds the Stock Max at some point, indicating overstock risk.
* **Below optimal stock** — Projected stock falls below the Stock Min, indicating a stockout risk if not corrected.
* **Out of stock** — Stock projection drops to zero — a critical alert to address.
* **Expiring stocks** — Some inventory is projected to expire before it can be consumed (when shelf-life is tracked).
* **Possible outlier (demand)** — Recent actual demand was abnormally high and may distort planning.
* **Possible shortage (demand)** — A period of zero or low sales that may indicate lost sales due to having had no stock.

A **14-day period filter** is available for stock alerts, letting you focus on products at risk within the next two weeks.

Stock locations without any stock data are no longer displayed in the Planning view, so the list stays focused on locations you actually plan for. You can also switch the display unit of the aggregated list to read planning figures in any unit configured for your products (for example pallets instead of pieces), which makes it easy to rearrange volumes like truck loads while keeping sight of each product.

### Product detail view

Clicking on a product opens its planning detail view — accessible via the **Planning** tab (you can switch between Demand and Planning for the same product). It is split into a **chart** and a **data table**.

#### Chart

The chart visualizes your stock trajectory and supply orders over a configurable time range (displayed in weeks or months). The stock projection is shown as a **dotted line**, firm orders as **dark bars**, and planned orders as **light bars**. The area between Flowlity Min and Flowlity Max appears as a **green shaded band**. The following series can be toggled:

* **Stock** — Your projected stock level over time, based on current demand forecasts and planned orders.
* **My Stock Max** — Your manually defined maximum stock target.
* **Flowlity Min** — The AI-computed minimum stock level (dynamic safety stock).
* **Flowlity Max** — The AI-computed maximum stock level.
* **Firm supply orders** — Orders that have been confirmed and committed (shown as dark bars).
* **Planned supply orders** — Orders recommended by Flowlity that are not yet validated (shown as light bars).
* **Expiring stock** — Highlights inventory projected to expire (for products with shelf-life tracking), showing when expiration causes a drop in usable stock.
* **Events** — External events that may affect planning.

The area between Flowlity Min and Flowlity Max represents the optimal stock corridor — keeping your stock within this band minimizes both stockout risk and overstock cost. When the stock projection goes outside this band, it triggers the above/below optimal stock alerts.

#### Data table

Below the chart, a table breaks down the planning data by period. Key rows include:

* **Final Forecast** — The demand forecast feeding into the planning calculation (coming from the Demand module).
* **My Supply** — The total supply for each period, composed of **Firm Orders** (confirmed POs from your ERP) and **Order Recommendations** (Flowlity's planned orders). If a product can be sourced from multiple suppliers, each supplier's recommendations appear as a separate line. A small Flowlity logo next to a value means it is the original suggestion; a pencil icon means you have manually overridden it. The **Firm Orders** line is read-only: to run stock simulations, use the **Stock Adjustments** row described below.
* **Stock Adjustments** — A simulation row where you can enter a different stock quantity for any period without touching your real data. Use it when the stock recorded in your system is not the stock you can really count on (for example part of it is damaged, reserved, or blocked in quality control). The adjustment is temporary and for simulation only: it is automatically deleted during the next stock integration. See [Simulating and modifying the plan](#simulating-and-modifying-the-plan) below.
* **My Stock Max** — Your manual maximum stock target per period.
* **Flowlity Max / Flowlity Min** — The AI-optimized stock boundaries.
* **Stock** — The projected stock level, color-coded: values in red indicate stock below the minimum threshold, green indicates healthy levels.
* **Stock Coverage in days** — How many days of demand your current stock can cover.
* **Firm Demand** — Confirmed orders or consumption from your ERP, shown as a reference row. This row is optional and can be toggled on via the gear icon (**Table settings**) at the top-right of the grid.

Periods that fall within a **Frozen Horizon** are highlighted with a blue background. In a frozen period, existing orders are locked and Flowlity will not generate new recommendations. You can fix or unfix a horizon by right-clicking a period in the grid (see [Simulating and modifying the plan](#simulating-and-modifying-the-plan) below).

Use the gear icon at the top-right of the grid to show additional columns — for example **Stock Min**, **Stock Max**, **Stock Coverage (days)**, **Main supplier**, or **Stock Valorisation Price** — to verify the plan meets your policy targets. Click the info **(i)** icon near the product name to open a sidebar with product details, where you can switch the unit of measure (e.g. view the plan in pallets instead of pieces) or review product master data.

#### Planning Constraints tab

A **Planning Constraints** tab is available in the product detail view. It displays operational constraints for the product, including its **fixed delivery days** — the specific days of the week on which replenishment arrivals are scheduled.

#### Simulating and modifying the plan

You can click directly on any planned order quantity in the grid and override it with a new value. The stock projection line updates **in real time** on the chart, letting you test "what-if" scenarios — for example, reducing a recommended order and immediately seeing how close stock dips to the minimum. An edited value shows a **lock icon**, meaning Flowlity's nightly computation will not overwrite your change. You can revert to Flowlity's original suggestion at any time by clearing your override (the Flowlity logo reappears).

You can also run "what-if" scenarios on your **stock level** using the **Stock Adjustments** row. Enter a different stock quantity for a period and Flowlity recomputes the projected inventory and the order recommendations from the adjusted value. Click **Optimize** to immediately see whether you need to order more, or earlier. Because the adjustment never touches your real data and is removed at the next stock integration, the Stock Adjustments row is the single, safe place to simulate stock, keeping your firm data clean.

At the top of the product detail view, two actions are available:

* **Optimize** — Runs Flowlity's optimization engine to recompute the supply plan for this product on demand. After optimization, you can choose to **save** or **discard** the new suggestions. This is useful after significant forecast or strategy changes when you don't want to wait for the nightly batch run.
* **Review** — Marks the product as reviewed, part of the validation workflow before releasing orders.

### Actions

* **Keyboard navigation** — Use the left/right arrow keys to cycle through products without returning to the list.
* **Fix / unfix horizon** — Freeze the plan up to a certain period so that committed orders are not changed by future recomputations. Unfix when you want Flowlity to re-optimize those periods.
* **Export** — Download planning data to CSV. See [Downloads](/settings/downloads) for more details.
* **Bulk tag assignment** — Select multiple products from the list and assign or remove tags in one step, without opening each product individually.
* **Bulk lead time edit** — Edit lead times for multiple products at once directly from the product list, without having to open each product.

### When to use it

Use Planning after reviewing your demand forecasts. Check projected stock levels to confirm your supply plan is aligned with expected demand, investigate products where stock falls outside the Flowlity Min/Max corridor, and validate the orders Flowlity recommends before moving them to Supply Orders. Use alert filters to prioritize — for example, start with "Out of stock" alerts to address the most critical risks first.

# Capacity

Monitor capacity constraints and anticipate bottlenecks.

The Capacity module lets you manage and monitor your capacity units — such as assembly lines, production plants, or supplier throughput. It ensures that your supply plan is feasible not just from an inventory standpoint, but also from an operational standpoint: can your factories and suppliers actually produce and deliver the planned quantities on the required schedule? When planned orders exceed available capacity, Flowlity flags the conflict so you can act before it becomes a bottleneck.

### What you can model

Capacity constraints can be defined at different levels to match your operational reality:

* **Factory or line capacity** — A production line can only produce a certain number of units per day or week. Flowlity ensures that planned production orders do not exceed what the line can handle.
* **Supplier capacity** — A supplier can only deliver a limited quantity per period across all products. Flowlity allocates capacity among products and alerts you if total demand exceeds what the supplier can fulfill.
* **Batch sizes and minimum runs** — A production process may require a minimum batch (e.g. at least 1,000 units per campaign) or orders in multiples of a lot size. Capacity planning accounts for these requirements.
* **Production hierarchies** — Capacity can be defined at multiple levels — total plant, individual production line, or specific machine — so that products sharing the same resource are planned together.

Capacity constraints are configured in the settings (under Suppliers or Production). See [Supplier constraints](/concepts/supplier-constraints) for details on how constraints are set up.

### Capacity utilization view

Once capacity constraints are active, the module shows a **utilization chart** for each capacity unit. The chart displays, per period (e.g. weekly), how much of the available capacity is consumed by planned orders versus the total capacity available — typically in hours or units.

* When planned orders fit within the available capacity, the bars stay within the limit.
* When a period **exceeds capacity**, it is highlighted and an alert is raised. Flowlity will either cap the recommended orders at the available capacity or spread production across adjacent periods to stay within limits.

If capacity is the binding constraint, some demand may remain unmet — this shows up as a backlog or a shortfall in the stock projection on the Planning page. This signals that you may need to take action: plan production earlier, shift orders to an alternate supplier with free capacity, schedule overtime, or accept longer lead times.

### When to use it

Use Capacity when you need to validate that your supply plan is feasible given your production or supplier constraints. It is especially useful before releasing orders, during S\&OP reviews, or whenever you want to proactively identify periods where demand may outstrip your ability to deliver. If you notice that recommended orders in Planning are capped below the forecast, check the Capacity module — it is likely a capacity constraint at work, signaling a need for action.

# Supply Orders

Manage the full lifecycle of your purchase and production orders.

The Supply Orders module is your order management hub. It gives you full visibility into the lifecycle of your purchase and production orders — from **Planned** to **Validated**, **Released**, and **Delivered**. It is closely linked to the Planning module: any changes you make to planned orders (My Supply) in Planning are reflected here as well. Think of this page as your workflow for moving orders from the planning stage to execution. You can view orders at the order level or drill down into individual order lines.

### Orders vs Order lines

Use the toggle in the top-right corner to switch between two perspectives:

* **Orders** — Each row represents a purchase requisition grouped by supplier and delivery date. Columns include the Flowlity order ID, external ID, delivery date, supplier, number of order lines, comments, and tags for order grouping. This is the high-level view to manage orders as a whole.
* **Order lines** — Each row represents an individual product line across all orders. Columns include reference, product name, delivery date, quantity (editable), and comments. Order lines can be **sorted by tag category**: click the tag category column header to group related products together, making large orders much easier to review. Use this view when you need to work at the product level across multiple orders.

You can also create a new order line manually using the **Create Order line** button.

### Views and filters

Custom views are now available in the Orders module, just like in Demand and Planning. You can create, save, duplicate, and share views with your own combination of filters, columns, and sorting. The built-in views are based on order statuses — **Planned**, **Validated**, **Released**, and **Delivered** — and apply across supply orders, order lines, supply agreements, and sales orders. ### Order lifecycle

Orders progress through four status tabs, each showing a count of orders in that stage:

1. **Planned** — Orders recommended by Flowlity's optimization engine based on your demand and inventory parameters. These are provisional: they are recalculated every night and may be adjusted or removed if the situation changes. Manual planned orders also sit here until confirmed.
2. **Validated** — Orders reviewed and confirmed by the planner. Once validated, an order is locked — Flowlity's nightly computation will not delete or modify it. These are the orders you typically export or send to the supplier.
3. **Released** — Firm purchase orders imported from your ERP, representing actual commitments to suppliers. These are read-only in Flowlity; changes are made in the ERP and synced back.
4. **Delivered** — Orders that have been fully received and closed.

Use the filter bar to search and narrow down by **Suppliers**, **Tags**, **Sites**, **Date Range**, or **Alerts** (including the new **Stockout response** alert type). You can also filter by **Ordering Date** — including a **Due today** option and an **In the past** option to surface orders whose expected placement date is today or has already passed — by **Release Date** (e.g. orders to place this week, in 2 weeks, in 1 month), and by **Delivery Date** (e.g. all orders arriving next month). You can also filter by a **list of product references**: paste a list of references to zoom in on a specific set of products across all orders. The **Sites** filter lets you narrow results by site type (e.g. Warehouse, Factory) — a **Select all** option is available to quickly include all sites. Order views refresh automatically when switching between sites.

### Compliance checks

For each order — especially planned ones — Flowlity checks whether constraints and policies are respected and surfaces warnings as icons on the order line:

* **Product constraints** — e.g. the order quantity does not meet the product's MOQ or is not a valid lot-size increment.
* **Supplier constraints** — e.g. the combined order does not fill a Full Truck, or orders are more frequent than the supplier's allowed order frequency.

These warnings are informational: you can still validate an order that violates a constraint if you have a reason (e.g. phasing out a product), but the system ensures you do so consciously. ### Order detail view

Clicking on an order opens its detail view, showing the full list of order lines for that purchase requisition. For each line you can see the reference, product name, quantity (editable), stock coverage at delivery date, and net requirements. A **secondary unit quantity** column is also visible alongside the primary quantity, making it easy to read quantities in both units side by side. A new **unit dropdown** on order lines lets you read and check quantities in any unit configured for the product, not just the primary and secondary units. A unit price column is available and editable, letting you adjust the valuation of specific order lines when needed.

For planned orders, you can also adjust the \*\*delivery date\*\* or \*\*split\*\* an order — for example, if Flowlity grouped two products in one order but you want to separate them. You can leave a \*\*comment\*\* on any order line to explain a change (e.g. why a quantity was overridden or an order was delayed); comments are saved and visible to other planners for collaboration and audit purposes. You can also edit multiple delivery dates at once directly in the table. Changed dates are highlighted in purple with a tooltip showing the original date. A \*\*Save\*\* button appears with a count of pending changes; a discard option is also available. A \*\*Validate\*\* button lets you confirm the order and move it to the next stage.

The **Order details** side panel provides key information about the order:

* **Dates** — Order placement deadline, delivery date, and estimated delivery date.
* **Destination** — The site the order is delivered to, useful when you manage replenishment across several sites.
* **Supplier constraints** — Full truck quantity, supplier MOQ (minimum order quantity), and order frequency.
* **Order quantity** — Total quantity, number of products, and total order price.

### Actions

* **Bulk validation with confirmation** — Select multiple planned orders and validate or discard them in one action. A confirmation modal summarizes the operation before it is applied.
* **Select all pages** — Selection now works across all pages, not just the current page, so you can act on your entire filtered result set at once.
* **Multi-format export** — Download order data in XLSX, CSV, or TSV. See [Downloads](/settings/downloads) for more details.
* **Supply agreement export** — Download supply agreements in XLSX, CSV, or TSV from the list page or the detail page.
* **Create order line** — Manually add a new order line using the **Create Order line** button.
* **Ctrl+click on a component** — When working with multi-component products, Ctrl-clicking on a component opens its Planning view in a new tab, making cross-product navigation faster.

### Supply Agreements

The Supply Agreements view gives you visibility into your contractual replenishment commitments. An **Order Placement Deadline** column is available in this view, helping you prioritize which agreements need to be acted on first. Key agreement constraints — such as price, MOQ, and other commercial terms — are now displayed directly in the app for quick reference. You can download supply agreements in XLSX, CSV, or TSV from the list page or the detail page.

### When to use it

Use Supply Orders after reviewing your Planning module. This is where you validate and release the orders that Flowlity recommends, track orders already in progress, and ensure nothing falls through the cracks. Start from the Orders view for a supplier-level overview, then drill into individual orders to review and adjust quantities before validating. Check compliance warnings before confirming — they help you catch constraint violations early so that your suppliers receive clean, executable orders.

# Tactical

S\&OP alignment and scenario planning at an aggregated level.

The Tactical module is where operational planning meets executive alignment. It lets you compare projections against objectives, run simulations, and validate strategic decisions at an aggregated level — bridging the gap between daily operations and long-term strategy.

### What you'll find here

Tactical provides an aggregated view of your supply chain performance, designed for S\&OP (Sales & Operations Planning) processes. Rather than looking at individual products, you work with higher-level groupings to assess whether your overall plan is on track to meet business objectives.

### Scenario planning

One of Tactical's key capabilities is running what-if simulations. You can model different scenarios — such as demand surges, supplier delays, or capacity changes — and compare their impact side by side, helping your team make informed strategic decisions.

### Display units

The chart unit dropdown supports aggregation in any of your product units, so you can review the aggregated plan in the unit that fits your decision (for example pallets instead of pieces) without leaving the module.

### Exporting results

The results table can be downloaded in XLSX, CSV, or TSV format. Select the rows you want to export, open the bulk action menu, and choose your preferred export format.

### When to use it

Use Tactical during your S\&OP review cycles to align operations with business goals, when preparing for management reviews, or whenever you need to evaluate the impact of strategic decisions before committing to them.


# Promotions

Plan, simulate, and optimize promotional campaigns.

The Promotions module is where you create, manage, and optimize your promotional campaigns. It gives you a dedicated space to define promotions with specific date ranges and product scopes, track their financial performance, and simulate different discount strategies — all powered by Flowlity's AI-driven price elasticity models that automatically find the discount levels that maximize your revenue or profit.

### Promotion statuses

Promotions follow a lifecycle reflected by three tabs at the top of the page:

* **Planned** — Upcoming promotions that have not started yet.
* **Confirmed** — Active promotions currently in progress.
* **Past** — Completed promotions available for performance review.

### List view

The promotion list displays all your promotions for the selected status tab. At the top, four KPI tiles provide an aggregated financial overview:

* **Products** — Total number of products included in promotions.
* **Margin** — Actual and forecasted margin rate. A transport cost toggle lets you include or exclude logistics costs.
* **Profit** — Actual and forecasted profit.
* **Sales** — Actual and forecasted sales value.

Each promotion row shows the promotion ID, name, discount rate, start and end dates, number of linked products, and profit/sales metrics (actual and forecasted).

Use the filter bar to narrow down by search term, date range, tags, suppliers, created/edited by, or sites. You can also create **custom views** using the **+** button to save your preferred filter and column configurations. The list can also be exported as **XLSX** — the export layout has been updated for clearer reporting.

### Promotion detail view

Clicking on a promotion opens the detail view, which combines financial KPIs, a visual chart, and a product-level table.

#### KPIs

Four KPI tiles summarize the promotion's performance:

* **Discount (Avg.)** — The average discount rate across all products.
* **Margin** — Forecasted margin rate alongside the simulated margin (updated in real time when you adjust discounts).
* **Profit** — Forecasted and simulated profit values.
* **Sales** — Forecasted and simulated sales values.

A transport cost toggle is available to view KPIs with or without logistics costs.

#### Chart

The chart displays **Sales** (bars), **Profit** (bars), and **Simulation** (line) over time. Vertical markers indicate the promotion **Start** and **End** dates, making it easy to visualize the promotional period in context.

#### Product table

Below the chart, a table lists every product linked to the promotion with the following columns:

* **Ref** — Product reference number.
* **Product Name** — Product description.
* **Cost** — Unit cost (supplier cost).
* **Price** — Base price (for simulation only — editable).
* **Discount %** — The discount rate applied. This field is **editable**: type a new value to instantly trigger a simulation.
* **Discount Price** — Computed price after applying the discount.
* **Price Position** — An AI-computed indicator showing whether the product is priced **Optimal** or **Overpriced** relative to the model's recommendation.

Additional columns (margin, forecasted quantities, etc.) can be configured via the column settings drawer.

Use the filter bar to narrow the product list by tags, suppliers, price position, or products without a discount.

#### Configure with AI

The **"Configure with AI"** button at the top of the product table triggers Flowlity's revenue maximization algorithm, which re-computes the optimal discount for every product in the promotion — respecting your company's margin constraints and rounding rules.

### Creating a promotion

Click the **Create** button from the list view. The creation form asks for:

1. **General information** — Name, description, start date, and end date.
2. **Product scope** — Select products individually or use filters (tags, suppliers) to include entire product segments. You can also use exclusion mode to include all products except specific ones.

When you save, Flowlity automatically runs the **revenue maximization** algorithm in the background: it finds the optimal discount per product and computes the promotion's financial KPIs. A notification confirms when optimization is complete.

Promotions can also be created via **file import**. When importing, the **promo rate** can be set directly in the import file, removing the need to update each promotion manually after upload.

### Simulation

From the promotion detail view, you can run manual simulations by editing the discount field on any product. When you change a discount:

1. The system calls the **price elasticity API**, which predicts how demand will change for the given price adjustment.
2. KPIs (Sales, Profit, Margin) update in real time to reflect the simulated outcome.
3. The chart shows an additional **Simulation** curve overlaid on the forecasted values.

This lets you compare multiple discount scenarios and make data-driven decisions before confirming a promotion.

### When to use it

Use the Promotions module when you are planning a promotional campaign and want to understand its financial impact before execution. Start by creating a promotion with the right date range and product scope, let the AI suggest optimal discounts, then fine-tune individual products using the simulation feature. After the promotion ends, come back to the Past tab to review actual performance against forecasts.

# Pricing

Monitor pricing performance and analyze the impact of promotions on sales and margins.

The Pricing module gives you a financial lens on your product catalog, showing how pricing decisions and promotions impact your sales, profit, and margins. It consolidates cost, price, and forecast data into a single view — helping you identify where promotions are driving value and where margins may be at risk. The module operates **end-to-end across sites**: list views, KPIs, simulations, and exports all account for the site dimension, keeping pricing decisions consistent for companies running multiple warehouses or banners.

### List view

The Pricing list view displays your products alongside their financial metrics. At the top of the page, three KPI tiles provide an aggregated overview:

* **Sales** — Total forecasted sales split between *without promo* and *with promo* values.
* **Profit** — Total forecasted profit, with and without promotions. A transport cost toggle lets you include or exclude logistics costs.
* **Margin** — Average margin rate, compared with and without promotions.

Below the KPIs, a sortable product table lists each product with its reference, name, site, inventory level, final forecast, and past demand. Use the **Columns** sidebar to add or remove columns — including financial metrics like supplier cost, discount rate, and margin.

Filter the list by name or reference, site, KPI time windows, tags, suppliers, alerts, and more. Save your preferred configurations as **custom views** using the **+** button.

A **Pricing Research Agent** button in the top-right corner lets you launch a competitive pricing analysis for any product directly from this page.

### Product detail — Pricing tab

When you click on a product, the detail view includes a **Pricing** tab alongside the existing Demand and Planning tabs.

#### Chart

The chart displays **Sales** and **Profit** time series over a configurable date range. Event markers highlight periods with active promotions, making it easy to correlate pricing actions with financial outcomes.

#### Data table

Below the chart, a detailed table breaks down financial data period by period:

* **Price, EUR** — The base price and original price for each period.
* **Discount, %** — The discount rate applied during that period.
* **Sales, EUR** — Total sales split into *without promo* and *with promo* values, plus the delta between them.
* **Profit, EUR** — Profit with and without promotions.
* **Margin %** — Margin rate with and without promotions.

This period-by-period breakdown lets you see exactly when and how promotions impacted each product's financial performance.

### When to use it

Use the Pricing module as your financial command center. Start from the list view to get a high-level picture of your portfolio's pricing health — identify products where promotions are driving strong uplift versus those where discounts are eroding margins. Drill into individual products via the Pricing tab to analyze trends over time. Combine with the Pricing Research Agent to validate your pricing against the competitive landscape.

# Automations

Custom workflows that detect and act on supply chain events automatically.

The Automations module lets you define rules that work for you while you sleep. Create custom workflows that automatically detect and act on supply chain events — like flagging overstock situations, identifying demand outliers, or triggering alerts when specific conditions are met.

### Automation list

The main screen displays all your automations in a table with the following columns:

* **Name** — The name you gave the automation.
* **Scope (View)** — The saved view the automation targets (e.g. "Forecast accuracy"), defining which products are in scope.
* **Status** — Whether the automation is active or **Paused**, with a toggle to switch.
* **Last run / Next run** — When the automation last executed and when it is scheduled to run next.
* **Runs** — Total number of executions.
* **Created by** — The user who created the automation.

You can search automations by name and filter by status.

### Creating an automation

Click **Create one automation** to open the creation dialog. An automation is defined by three components:

* **Name** — A descriptive name for the automation.
* **Scope** — Select a saved **View** from the Demand or Planning module. The automation will apply to all products in that view.
* **Schedule** — Configure how often the automation runs:
  * **Repeat** — Frequency (e.g. every week).
  * **On** — Which days of the week (M, T, W, T, F, S, S).
  * **At** — Time of day.
  * **Ends** — Optional end date for the automation.
* **Action** — Define what the automation does when it runs. Add one or more actions using the **+ Add action** button. Available bulk actions include:
  * **Set a buffer policy** — Apply inventory strategy or buffer parameters to the products in scope.
  * **Apply or remove tags** — Add, assign or unassign tags across multiple products in one go.
  * **Update lead times** — Set a new lead time for the products in scope.
  * **Adjust similar products settings** — Update the current product ratio and end date for similar product usage across products.
  * **Clear "My Forecast"** — Remove manual forecast overrides, returning products to the Flowlity AI forecast.
  * **Apply an Expert Model** — Apply an Expert Model in mass to the products in scope, so you can roll out forecasting strategies across large catalogues on a schedule. See [Demand](/modules/demand) for the available Expert Models.
  * **Trigger an alert** — Flag products for review when specific conditions are met.

Click **Create & Activate** to save and immediately enable the automation.

### Automation detail view

Clicking on an automation opens a side panel with two tabs:

#### Settings

Displays the full configuration of the automation — scope, schedule, and action — and lets you edit any of them. You can also trigger a run on demand using the **Run manually** button, or delete the automation entirely.

#### Runs

Shows the history of all past and upcoming executions. Each run displays:

* **Date and time** of execution.
* **Status** — *Planned* (scheduled but not yet run), *Successfully* (completed without errors), or an error state.
* **Number of products** processed in that run.

### When to use it

Use Automations to offload repetitive monitoring tasks. Typical use cases include applying buffer policies to specific product groups on a schedule, flagging products that have crossed a stockout threshold, or detecting unusual demand spikes. The more automations you set up, the more your planning process runs by exception rather than by exhaustive review.

# Agents

AI-powered agents that continuously enrich your planning data.

Agents are AI-powered processes that act on different parts of the platform to enhance your planning. Each agent is displayed as a card showing its description, run frequency, and next scheduled run. Some agents run automatically on a schedule (daily or weekly), while others are triggered manually.

### Available agents

#### Demand Anomaly Agent

Automatically identifies and replaces anomalies in your historical demand with more relevant, context-aware values — ensuring the accuracy of the data that feeds your forecasts. The agent runs **weekly** and provides a summary of all adjustments it has made, broken down by anomaly type:

* **Outliers** — Unusual demand peaks that don't reflect typical customer demand patterns.
* **Shortages** — Stockout periods where zero demand occurred due to product unavailability rather than lack of demand (e.g. "0 stock and 0 demand") or periods when inventory below lot size artificially suppressed sales ("stock < lot size").
* **Smooth past promotions** — Smooths out promotional spikes to give a cleaner baseline.

For each anomaly type, you can see the count of adjustments along with their acceptance status (Accepted, Rejected, Not treated, Modified).

#### Forecast Agent

Your AI-powered forecasting companion. The Forecast Agent runs **weekly** and powers Flowlity's probabilistic forecasting engine, continuously learning from your data to improve forecast accuracy over time.

#### Product Similarity Agent

Finds the top 5 most similar products for each item in your catalog. Runs **weekly** and is especially valuable for new or sparse products — when a product has little or no demand history, the similarity agent identifies analogous products to bootstrap a reliable forecast. You can configure whether similar products are included in or excluded from the agent's scope.

#### Planning Agent

Recommends the best quantities and dates for optimized supplies. The Planning Agent runs **daily**, taking into account your forecasts and risk assessment through buffers to generate the most optimized supply plan while respecting all your constraints and needs. It provides a summary of the order lines and total value it has generated.

#### Pricing Research Agent

Evaluates market conditions and demand elasticity, recommending strategic prices that maximize revenue. This agent runs **manually** — you select a product, provide its current price and description, and optionally focus on a specific competitor. The agent then performs a competitive intelligence analysis (e.g. via Google Shopping) and returns a detailed report including:

* **Executive Summary** — Product overview and key metrics at a glance (market position, your price vs market median, price range, number of competitors analyzed).
* **Strategic Insights & Recommendations** — AI-generated pricing recommendations based on competitive intelligence.

### Agent detail view

Clicking on an agent card opens a panel with two tabs:

* **How it works** — Explains what the agent does and shows a summary of its latest results (e.g. total adjustments made, order lines created). Some agents also include a "See the agent in action" video.
* **Configuration** — Displays the agent's settings. For the Demand Anomaly Agent, this lets you activate or deactivate specific anomaly types and choose whether events are accepted **automatically** or **manually**. Configurations are currently read-only for most agents.

### When to use it

Most agents work in the background, so you don't need to interact with them daily. Use the Agents module to monitor their status, review their latest results, and understand the insights they surface. For the Pricing Research Agent, use it on demand whenever you need a competitive pricing analysis for a specific product.

# Coplanner/MCP

Connect AI assistants like Claude and ChatGPT directly to your Flowlity data using the Model Context Protocol.

MCP (Model Context Protocol) is an open standard that lets AI assistants connect directly to external tools and data sources. Flowlity hosts an MCP server so you can query your supply chain data, create promotions, manage views, and more — all from a chat interface.

Think of it as a bridge: the AI becomes the interface, Flowlity stays the engine.

* **Create views** — Ask the AI to set up a Demand or Planning view with relevant columns and filters, without opening the app.
* **Create promotions** — "Create a promotion for all Class A products, increase forecast by 30%." The AI finds the products and creates the event directly.
* **Override forecasts** — Adjust your forecast values through conversation.
* **Simulate demand** — Model "what if" scenarios and see the projected stock impact.
* **Import data** — Upload CSV files and trigger data pipelines (Flowlity Lite).
* **Apply recommended orders** — Accept Flowlity's recommended order quantities.

The biggest advantage over an embedded AI sidebar: in the same conversation you can talk to **Flowlity + your CRM + your ERP + spreadsheets** simultaneously.

## Setup

### Prerequisites

* A valid **Flowlity account**
* Access to a supported AI assistant (Claude, ChatGPT, or Microsoft Copilot Studio)

### Connect via Claude (recommended)

1. Go to [claude.ai](https://claude.ai) and open **Settings**.
2. Navigate to **Connectors**, then click **Add custom connector**.
3. Fill in the fields:
   * **Name**: `Flowlity`
   * **Server URL**: provided by your *Flowlity Customer Success Manager*
   * **Client ID**: provided by your *Flowlity Customer Success Manager*
4. Save the configuration.
5. You will be redirected to authenticate — **sign in with the same email as your Flowlity account**.
6. Verify: start a new conversation and ask *"List all my Flowlity sites"*. If your sites appear, the connection is working.

### Connect via ChatGPT

1. Go to [chatgpt.com](https://chatgpt.com) and open **Settings**.
2. Navigate to **Advanced Settings** and enable **Developer Mode**.
3. Go to **Apps** and create a new app.
4. Enter the **Server URL** provided by your Flowlity *Customer Success Manager*. Authentication is auto-discovered — no client ID needed.
5. Authorize with your Flowlity account.
6. Verify: ask *"List all my Flowlity sites"*.

### Connect via Copilot Studio

Microsoft Copilot Studio lets you add the Flowlity MCP server as a tool for a custom agent, then publish that agent to Microsoft 365 and Teams.

1. **Create an agent** (skip this if you already have one). Give it a name, for example `coplanner`, and click **Create**.

2. Open your agent's **Tools** tab and click **Add a tool**.

   * **Server URL**: provided by your *Flowlity Customer Success Manager*
   * **Authentication**: select **OAuth 2.0** with type **Dynamic discovery**

5. Under **Connection**, click **Create new connection** and authenticate.

6. You will be redirected to a sign-up page. Create your account using the **same email as your Flowlity account**, verify your email, then return and **sign in**.
7. Publish the agent to your users: open the **Channels** tab and select **Microsoft 365 and Microsoft Teams**.

* **Same credentials, same permissions** — The MCP server authenticates with your Flowlity account. You only see the sites and data you already have access to.
* **OAuth 2.0** — Authentication uses industry-standard OAuth 2.0 with bearer tokens.
* **No data exposure** — All database connections run through private networks. No public IP is exposed.
* **Deterministic tool calls** — When the AI calls a tool, it executes a real query against the database. The data returned is always real and accurate — only the AI's wording and interpretation may vary.

Skills run inside an AI assistant that supports them (such as Claude Cowork or Claude Code) and call the same Flowlity MCP tools described in [MCP connection instructions](/mcp). They read only the data your Flowlity account already has access to.

A jump-start kit that bundles the Flowlity MCP connector and all Coplanner skills in one installable package.

The **Flowlity Supply Chain Coplanner** plugin is a jump-start kit for new Coplanner users. Instead of connecting the MCP server and discovering skills separately, the plugin bundles everything in one installable package so a new user gets value from their own supply-chain data on day one.

## Requirements

* An active **Flowlity Coplanner account** with at least one site of data.
* The Flowlity connector authorized for that account (standard OAuth sign-in — use the same email as your Flowlity account). No API keys or secrets are stored in the plugin.

### Shared directly (email / Slack)

If a colleague sends you the `.plugin` file, open it in Claude and confirm the install prompt. This is the quickest way to try it — no admin rights needed.

### From your organization's plugin marketplace

If your Flowlity or company admin has published it, open **Settings → Plugins / Browse plugins**, find **Flowlity Supply Chain Coplanner**, and click **Install** (it may already be installed for you).

### For administrators

Team/Enterprise owners can distribute it org-wide under **Organization settings → Plugins** — either by uploading the plugin `.zip` (manual marketplace) or by syncing it from a private GitHub repo. You can then set it to *Available for install*, *Installed by default*, or *Required*.

## First steps after installing

1. Make sure the Flowlity connector is authorized (see Requirements).
2. Say **"Help me get started with Flowlity"** — the getting-started skill checks your connection and offers a menu of first actions.
3. From there, try *"Run a data-quality audit"*, *"Run a forecast audit"*, or *"Create a supply-chain operations review deck"*.


# Flowlity Lite

Get started with demand forecasting and supply planning using manual CSV uploads.

Flowlity Lite is a self-serve, lightweight version of Flowlity designed to lower the barrier to entry for companies that want AI-powered demand forecasting and supply planning — without requiring a full ERP integration. Instead of connecting automatically to your systems, Flowlity Lite lets you **upload your data manually via CSV or XLS files** and generate forecasts and a supply plan with a single click. It is ideal for companies starting their supply chain optimisation journey, running a proof of concept, or operating without automated data pipelines.

### Getting started

1. Receive your login credentials from your Flowlity account manager.
2. Log in and navigate to **Settings → Import Data**.
3. Upload your demand history file (and optionally stock, purchase orders, and supplier data).
4. Map your columns to Flowlity's expected fields.
5. Click **Generate Forecast** — within minutes, your products appear in the Demand module with AI-generated forecasts.

### Uploading your data

Flowlity Lite accepts **CSV and XLS files**. Download the standard templates below to make sure your files are correctly formatted before uploading.

The following data types are supported:

**Required**

* **Demand history** — Past sales or consumption data. Each row should contain a date, a product identifier, and a quantity.

**Optional — needed for Planning**

* **Current stock levels** — Your current inventory positions per product and site.
* **Purchase orders** — Open purchase orders, with quantities and expected delivery dates.
* **Product–Supplier links** — Supplier-product mappings including lead times, minimum order quantities (MOQ), and lot sizes.

**Optional — Demand enrichment**

* **Promotions** — Promotional periods and expected uplift, to improve forecast accuracy.
* **External forecasts** — Your own forecast data to blend with Flowlity's AI forecast.

#### Column mapping

After uploading a file, Flowlity presents a mapping interface where you match your file's columns to the expected fields. For example:

* Your `SKU` column → **Product ID**
* Your `Sales Qty` column → **Quantity**
* Your `Ship Date` column → **Date**
* Your `Warehouse` column → **Tag category** (optional)

Flowlity suggests mappings automatically based on column names.

Dates must follow a consistent format throughout your file. Flowlity supports common formats (YYYY-MM-DD, DD/MM/YYYY, MM/DD/YYYY). The locale is configured at site level — contact your Flowlity project manager if you encounter date parsing issues.

### Generating forecasts and planning

Once your demand data is uploaded and mapped:

1. Click **Generate Forecast** — Flowlity runs its forecasting models. This typically takes a few minutes depending on the number of products.
2. Once complete, your products appear in the **Demand** module with AI-generated forecasts.
3. If you have uploaded stock, purchase orders, and supplier data, click **Generate Planning** to run the replenishment optimisation.
4. Your supply plan is available in the **Planning** and **Supply Orders** modules.

The app displays a status indicator (**In progress** / **Ready**) so you always know when a calculation is running.

# Supplier collaboration portal

Share forecasts and orders with your suppliers through a dedicated portal.

The Supplier collaboration portal — also known as the Network module — extends Flowlity beyond your internal planning team. It is a dedicated interface where your suppliers can log in and see the forecasts and orders that are relevant to them, in real time. Instead of exchanging spreadsheets or emails, both you and your suppliers work from the same data, reducing miscommunication and improving responsiveness across the supply chain.

### What suppliers see

When a supplier logs into the portal, they see a simplified dashboard scoped to their own products. They will never see data belonging to other suppliers. Depending on what you choose to share, a supplier can access:

* **Demand forecasts** — Projected demand for the components or products they supply, giving them visibility into what is coming over the next weeks or months. This helps suppliers plan their own production and inventory in advance.
* **Planned orders** — Your purchase requisitions (not yet confirmed), so the supplier sees what you are likely to order before it becomes official. This early signal lets them start preparing.
* **Confirmed orders** — Firm purchase orders that the supplier can act on immediately.

### What suppliers can do

The portal is not read-only. Suppliers can respond with information that feeds back into your planning process:

* **Acknowledge orders** — Confirm that they can fulfill an order as requested.
* **Propose adjustments** — If a supplier cannot meet the exact date or quantity, they can update the portal with a feasible promise (e.g. "I can deliver 800 units by that date, 200 a week later"). This information surfaces in your plan so you can react — seek an alternate supplier, adjust schedules, or accept the delay.
* **Add comments** — Leave notes on orders or forecasts for direct communication with your planning team.

### How it connects to your workflow

The portal is tightly integrated with the rest of Flowlity:

* Changes you make in [Planning](/modules/planning) or [Supply Orders](/modules/supply-orders) — such as updating a forecast or confirming an order — are immediately visible to the supplier.
* Supplier responses (acceptances, date changes, comments) are immediately visible to you, and may trigger alerts if they affect your plan.
* The result is a **single source of truth**: both sides operate with shared, up-to-date data instead of reconciling disconnected documents.

### When to use it

Use the Supplier collaboration portal when you want to give key suppliers visibility into your demand and order plans. It is especially valuable for strategic suppliers where lead times are long, demand is variable, or coordination is critical. Sharing forecasts early helps suppliers align their production, reducing last-minute surprises and building a more resilient supply chain.

Configure your Flowlity workspace — general preferences, planning parameters, and data exports.

The Settings section lets you manage the configuration of your Flowlity workspace. Access it from the **Settings** entry in the left sidebar. Pages are organized into three groups.

### General

Core workspace configuration — your company identity, site definitions, and user management.

# Company

View the company associated with your Flowlity workspace.

The Company page displays the name of the company linked to your Flowlity account. This value is set during onboarding and is read-only — contact Flowlity support if it needs to be changed.


# Sites

Create and configure sites — locations, currency, demand settings, and closures.

The Sites page lets you manage the physical or logical locations used across Flowlity. Each site has its own products, suppliers, and planning parameters.

### Site list

The main screen shows all sites in a table. Use the search bar to find a site by name.

### Editing a site

Click a site to open its configuration panel. The following fields are available:

* **Name** — Display name of the site.
* **Address** — Physical address (street, city, postal code, country).
* **Currency** — The currency used for cost and value calculations at this site.
* **Demand distribution** — How demand is distributed across periods (e.g. evenly, front-loaded).

#### Site closures

Declare periods when the site is closed. During a closure the site cannot receive or ship goods, and planning calculations account for the gap. You can also manage closures from the dedicated [Site closures](/settings/site-closures) page.

#### Dashboard properties

Configure which KPIs and metrics are displayed on the Dashboard for this site.

#### Stock properties

Define stock-related parameters such as stock valuation method and default units. The secondary unit dropdown supports both Purchase and Sales currency options, letting you display values in a second unit of measure alongside the primary unit.


# Users

Manage user accounts, activation status, and site access.

The Users page lets you view and manage all users in your Flowlity workspace.

### User list

The main table lists every user with their **name**, **email**, and **status** (active or inactive). Use the search bar to find a user by name or email.

### Editing a user

Click a user to open their profile panel:

* **First name / Last name** — The user's display name.
* **Email** — Login email address.
* **Active** — Toggle to activate or deactivate the account. Inactive users cannot log in.
* **Site scope** — Select which sites the user can access. A user only sees data for their assigned sites.


# Products

Manage your product catalog and configure forecast and inventory strategies.

The Products page is the central place to view and configure the products (SKUs) in your Flowlity workspace. Each product can be fine-tuned across seven tabs that control everything from basic information to advanced inventory strategies.

### Product list

The main screen displays all products for the selected site. Each row shows the product **reference** and **name**. Use the search bar and filters to narrow the list.

### Product detail tabs

Click a product to open its detail panel. Configuration is split across seven tabs.

#### Info

General product information:

* **Reference** — Unique product identifier (read-only, set during import).
* **Name** — Product display name.
* **Description** — Optional free-text description.
* **Unit** — Unit of measure (e.g. pieces, kg, liters).
* **Currency** — Currency for cost fields.
* **Price** — Selling price per unit.
* **Storage cost** — Cost of holding one unit in stock per period.
* **Status** — Whether the product is active or archived.

#### Events

Lists the [forecast events](/settings/forecast-events) currently associated with this product. You can link or unlink events that influence the demand forecast (e.g. promotions, product launches).

#### Tags

Shows which [tags](/settings/tags) are assigned to the product. Add or remove tags to control how the product appears in filtered views, reports, and automations.

#### Suppliers

Manage the suppliers that can deliver this product:

* **Primary supplier** — The default supplier used in planning.
* **Alternative suppliers** — Backup sources with their own lead times and MOQs.

Each supplier entry shows lead time, minimum order quantity (MOQ), and unit cost.

#### Quotas

Define allocation quotas when multiple suppliers can fulfil the same product. Quotas control the target share of orders each supplier should receive (e.g. 70 %/30 % split).

#### Forecast strategy

Configure how the demand forecast is generated for this product:

* **Forecast model** — Select the forecasting approach (e.g. Flowlity AI, manual, external).
* **Similar products** — Identify comparable products whose demand history helps improve the forecast, especially useful for new or low-volume items.
* **Forecast horizon** — How far into the future the forecast extends.
* **Seasonality** — Enable or disable seasonal patterns in the forecast.

#### Inventory strategy

Define how supply planning works for this product:

* **Strategy type** — Choose the replenishment strategy:
  * **MTS Flowlity AI** — Make-to-stock with AI-optimized safety stock.
  * **MTS My min** — Make-to-stock with a manually defined minimum stock level.
  * **MTS Reorder point** — Classic reorder-point policy.
  * **MTS Reorder point + AI** — Reorder point enhanced with AI-driven safety stock.
  * **MTO** — Make-to-order (no stock held; orders are placed against confirmed demand).
* **Buffer policy** — The safety stock or buffer parameters applied to this product. Defaults come from the [Buffer Policy](/settings/buffer-policy) settings and can be overridden here.
* **Reorder parameters** — Depending on the strategy: reorder point, reorder quantity, target days of stock, maximum stock, etc.

# Suppliers

Define suppliers with contact information, constraints, and closure periods.

The Suppliers page lets you manage the suppliers that provide products to your sites.

### Supplier list

The main table lists all suppliers with their **name** and key information. Use the search bar to find a supplier.

### Editing a supplier

Click a supplier to open its detail panel. It contains two tabs.

#### General

* **Name** — Supplier display name.
* **Contact** — Contact person name, email, and phone number.
* **Address** — Supplier address (street, city, postal code, country).
* **Constraints** — Supply constraints such as:
  * **Lead time** — Default delivery lead time in days.
  * **Minimum order quantity (MOQ)** — Smallest quantity accepted per order.
  * **Order multiple** — Orders must be placed in multiples of this value.
  * **Maximum order quantity** — Upper limit per order, if applicable.

#### Site closures

Declare periods when the supplier is closed and cannot process or ship orders. During a supplier closure, planning calculations push order dates forward to account for the gap.

# Tags

Organize products into tags and tag categories for filtering and analysis.

Tags let you group products by any dimension you choose — product family, ABC class, warehouse zone, or any custom grouping. Tags are used throughout Flowlity to filter views, scope automations, and analyze demand by group.

### Tags list

The default tab shows all tags in a table. Each row displays the **tag name**, its **category**, and the **number of products** assigned to it. Use the search bar to find a tag.

### Categories of tags

Switch to the **Categories of tags** tab to manage tag categories. A category is a logical grouping of tags (e.g. "Product family", "ABC classification"). Each category can contain multiple tags.

### Editing a tag

Click a tag to open its detail panel:

* **Name** — Tag display name.
* **Category** — The category this tag belongs to.
* **Group orders** — Whether products with this tag should have their supply orders grouped together.
* **Products** — View and manage which products carry this tag.

# Forecast events

Create events that adjust the demand forecast — promotions, launches, market shifts.

Forecast events let you model one-off or recurring occurrences that affect demand — such as promotions, product launches, market disruptions, or seasonal campaigns. When an event is active, Flowlity adjusts the demand forecast for the associated products during the event period.

### Event list

The main screen shows all events in a table with their **name**, **date range**, and **status**. Use the search bar to find an event.

### Creating or editing an event

Click **Create** to add a new event, or click an existing event to edit it. The following fields are available:

* **Name** — A descriptive name for the event.
* **Description** — Optional details about the event.
* **Start date / End date** — The period during which the event impacts demand.
* **Impact** — The expected effect on demand, expressed as a percentage increase or decrease (e.g. +30 % for a promotion, −20 % for a market downturn).
* **Products** — Select which products are affected by the event. You can pick individual products or use tags.
* **Customers** — Optionally scope the event to specific customers.

# Buffer Policy

Set default supply buffer policies for each inventory strategy.

The Buffer Policy page lets you define the default safety-stock and buffer parameters applied to products based on their inventory strategy. These defaults are used unless a product-level override is set in [Products](/settings/products) > Inventory strategy.

### Policies by strategy

Each inventory strategy has its own set of configurable buffer parameters:

* **MTS Flowlity AI** — Flowlity automatically calculates the optimal safety stock using probabilistic forecasting. You can set a target **service level** (e.g. 95 %) that drives the buffer size.
* **MTS My min** — A fixed minimum stock level you define manually. The buffer is the minimum quantity that should always be on hand.
* **MTS Reorder point** — Classic reorder-point policy. Configure the **reorder point** (stock level that triggers a new order) and the **reorder quantity**.
* **MTS Reorder point + AI** — Same as the standard reorder point, but Flowlity dynamically adjusts the reorder point using AI-based demand signals.
* **MTO** — Make-to-order. No buffer is held; orders are placed against confirmed demand only.

Adjust these defaults to match your organization's risk tolerance and service-level targets. Products that need different parameters can be individually overridden from the [Products](/settings/products) settings.

# Site closures

Declare periods when a site is closed and cannot receive or ship goods.

The Site closures page gives you a centralized view of all closure periods across your sites. During a closure, the site cannot receive or ship goods, and Flowlity's planning engine automatically shifts orders around the gap.

### Closure list

The main table lists all closures with their **description**, **site**, **start date**, and **end date**. Use the search bar and filters to narrow the list.

### Creating or editing a closure

Click **Create** to add a new closure, or click an existing one to edit it:

* **Description** — A short label for the closure (e.g. "Summer shutdown", "Public holiday").
* **Site** — The site affected by the closure.
* **Start date / End date** — The period during which the site is closed.

# Downloads

Export planning data to CSV or Excel files.

The Downloads page lets you export data from Flowlity for use in spreadsheets, BI tools, or other systems.

### Download configuration

Set up your export using the following options:

* **Site** — Select which site's data to export.
* **File type** — Choose the type of data to export (e.g. demand, planning, stock).
* **Units** — Select the unit of measure for quantities in the export.
* **Period** — Define the time range and granularity (e.g. monthly, weekly).
* **Format** — Choose the output format: **CSV** or **Excel**.

Click **Download** to generate and download the file.

### Export columns configuration

Use the columns configuration panel to select exactly which fields are included in the export. Toggle columns on or off to customize the output to your needs — for example, include only forecast and stock columns, or add supplier and tag metadata.

To keep our focus sharp, here is what Flowlity is *not* building:

* **ERP replacement.** Flowlity sits on top of your existing ERP. It does not replace it.
* **Finance and accounting consolidation.** We deliver forecasts, plans, and orders. Your books stay in your ERP and accounting system.
* **Warehouse management.** We optimize what to order and when. We do not handle picking, packing, or warehouse operations.

## Trust and security

* **OAuth 2.0** for the [MCP server](/mcp#security-and-privacy) and integrations.
* **Private network access** to your data. No public IPs exposed.
* **Per-user permissions** enforced everywhere, including AI surfaces. The AI only ever sees what the user is allowed to see.
* **Deterministic tool calls** for AI agents. Numbers are queried from the real database, never invented.

## 📋 Order line exports: choose exactly the columns you need

When you export order lines, you can now pick which columns to include instead of always exporting the full set. Set the columns once to match the file you send to your suppliers or load into your ERP, and export it that way every time.

Don't worry, if you want to continue to export the standard order file, you still have that option.

## 🏪 New module: Assortment, manage which products are carried in which stores

The new **Assortment module** gives you a dedicated space to manage your product assortment: which products are available for ordering in which stores or warehouses. It replaces spreadsheet-based assortment management with two complementary views, a **Tag view** to manage product families across your sites and a **Product view** to work product by product.

**Typology-based assortment**: assign a typology (for example Basic, Medium, Large) to each site for a product family, and the products in that family are automatically activated in the matching stores. Bulk actions let you assign typologies to many families at once.

**Powerful filtering and custom views**: filter by site, tag category, or typology directly from the column headers, show or hide columns, and save your setup as custom views. From any product family, hover the product count to preview its products and jump to the Product view pre-filtered on that family.

**Exceptions and bulk actions**: manually activate or deactivate specific products, on all sites or on a selection of sites, and track all manual overrides in a dedicated Exceptions tab. Product and tag lists can also be exported to Excel or CSV.

## 🔍 Advanced tag filtering: combine tags with "and" / "or" logic

Filtering products by tags is now much more precise. You can combine tags across categories with both union ("or") and intersection ("and") logic, for example: products that are (Blue or Red) and (Large). This makes it possible to build exactly the product selection you need, even with complex tag structures.

**Configuration**

* The Planning file downloaded from the Configuration page now distinguishes planned orders from firm orders.
* Capacity units can now be created on a tag directly from the app.
* The app can now be configured to display any currency, beyond EUR and USD.

**KPIs**

* New "estimated lost sales" KPI at product level, in quantity and in value, to spot products losing significant sales due to stockouts.

**Others**

* **Co-Planner**: Forecast events can now be created directly through the Co-Planner assistant.
* **Pricing**: A new "Price position" attribute is available in the product list and filters, showing whether a product is optimally priced.
* **Demand**: New low-demand detection in the Demand anomaly agent, spotting shortages where stock was held back for other channels without ever hitting zero. Available as a configuration option.

## 📦 Similar product stock: see old product stock before you order

When a new product replaces an older one (for example a new season or a new yearly version), you can now see the remaining stock of the old, similar product directly in the Planning view. This helps you avoid over-ordering while previous stock is still available, all without switching screens.

## 💰 New KPI *Sales under promotion*: track your promotional intensity at a glance

The Pricing module now includes a dynamic KPI that shows the share of your revenue generated under promotion. It gives you a single, always-current figure to see how promotional your sales are and to steer that intensity toward your goal.

**Actual vs target**: the KPI shows your current share of sales under promotion next to the target you set, so progress is visible at a glance.

Use it to keep promotional spend under control: spot when you are discounting too much, and adjust your campaigns to protect margin while still hitting your commercial objectives.

## 📋 Open all finished goods: go from a component to all its finished goods in one click

When you review a component on an order line, you can now open the aggregated Planning view of all of its parent products in a single click. No more opening each parent in its own tab: you see availability across every parent at once and can adjust the plan to match the component's constraints.

## 🚚 Supplier lead time in settings: edit it without leaving the panel

Lead time is now available as a supplier constraint that you can edit directly from the Supplier settings. Keeping your supply parameters up to date is faster, with no need to open each product one by one.

## 🪩 Demand history overlays: compare your forecast with past years

You can now overlay past demand from previous years (N-1, N-2) directly on the Demand chart. This makes it easy to check how the current forecast aligns with what actually happened in previous years, validate seasonality, and spot unusual patterns at a glance.

**Year-over-year comparison**: select which past years to display and their curves appear on the same timeline as your current demand and forecast.

If you prefer the old display, you can hide the overlay by clicking on the legend on top of the graph for each data point.

## 📈 Stock simulation: run "what if" scenarios on your stock levels

Sometimes the stock recorded in your system is not the stock you can really count on: part of it may be damaged, reserved, or blocked in quality control. You can now adjust the stock level of any product directly in Planning and instantly simulate the impact.

**Adjust the stock level**: a new stock adjustment line in the Planning table lets you enter a different stock quantity, without touching your real data.

**Simulate the full impact**: Flowlity recomputes the projected inventory and the order recommendations based on the adjusted value, so you can click on Optimize to immediately see whether you need to order more, or earlier.

*Stock adjustments will automatically be deleted during the next stock integration.*

With this change, the Firm orders line becomes read-only: stock adjustments are now the single place to run stock simulations, keeping your firm data clean.

## 📦 Multi-unit display: switch units in many more places

Last month we introduced multi-unit display across the app. This release goes further: you can now actively switch the display unit in the places where you work every day.

**Demand and Planning aggregated views**: switch the unit of the aggregated list and of the per-product detail grid, for example to rearrange truck loads in pallets while keeping sight of each product.

**Order lines**: a new unit dropdown on order lines lets you read and check quantities in any unit configured for the product.

**KPIs**: when creating a KPI, you can now pick the unit for each column separately.

**Tactical**: the chart unit dropdown now supports aggregation in any of your product units.

## 🌐 Multi-site demand, planning and pricing: work across all your sites

This release rounds out Flowlity's multi-site experience by extending it to three more modules.

**Multi-site Demand Forecast**: the Demand Forecast module now operates across multiple sites. You can review, challenge and edit forecasts for all your sites in a single workspace, with each product clearly tied to its site.

**Multi-site Planning**: the Planning module also extends to cross-site work. You can monitor inventory, optimize replenishment and review supply across all your sites from a single workspace.

**Pricing, full multi-site support**: the Pricing module now works end-to-end across sites. List views, KPIs, simulations, and exports all account for the site dimension, keeping pricing decisions consistent for companies running multiple warehouses or banners.

We've also polished a number of multi-site UX details. Products now display **which site they belong to** when several sites are selected, and the **"Select all"** action is shown only when a single site is active, removing ambiguity when working across multiple sites.

## 🤖 Automations: new bulk actions

You can now apply these new bulk actions to a selection of products:

* **Update lead times** — set a new lead time for many products in just a few clicks.
* **Manage tags** — add, assign or unassign tags across multiple products in one go.
* **Adjust similar products settings** — update the "current product ratio" and "end date" for several products at once, right from the "similar products" section of the Inventory strategy panel.
* **Clear "my forecast"** — remove your manual forecast for a group of products in a single action.

These updates make large-scale rollouts and everyday maintenance much faster when you're managing a large product catalogue.

We're introducing the Forecast Studio — a brand-new way to interact with Flowlity's forecasting engine.

It gives you a dedicated workspace to build, test, and adjust forecasts at the product level, combining Flowlity's global intelligence with your local expertise.

### How it works

Forecast Studio is built on two complementary layers:

* **Foundation Model** — A global model that learns from all your data to capture broad patterns (seasonality, trends, correlations, external signals…).
* **Expert Models** — Product-level models you can apply to refine the forecast based on your operational knowledge.

The new **Pricing module** gives you a consolidated view of your product catalog through a financial lens, helping you understand how pricing and promotions impact your sales, profit, and margins.

The **list view** displays aggregated KPIs at the top of the page — **Sales**, **Profit**, and **Margin** — each split between *with promo* and *without promo* values. A transport cost toggle lets you include or exclude logistics costs from the calculation. Below, a sortable product table shows each product's reference, name, site, inventory level, final forecast, and past demand, with fully customizable columns and views.

The **Pricing Research Agent**, available from the Agents module, lets you run on-demand competitive pricing analyses. Select a product, provide its current price and description, and optionally focus on a specific competitor. The agent scans Google Shopping for competitor prices, evaluates your market positioning, and returns a detailed report with:

* **Executive Summary** — your price vs. market median, price range, and number of competitors analyzed.
* **Strategic Insights & Recommendations** — AI-generated pricing recommendations based on competitive intelligence and demand patterns.

Use it to validate your pricing strategy, prepare a promotion, or identify products where you may be leaving margin on the table.

## Dashboard: Major Overhaul

The Dashboard module has received a significant series of improvements in this release.

**KPI display by quantity** — KPI tiles can now be toggled between value and quantity display, bringing consistency with the line charts that already supported this switch.

**Export Dashboard KPIs** — Chart data can now be exported in CSV, XLSX, or TSV format directly from the dashboard, making it easier to share KPI snapshots and perform further analysis externally.

**Extended chart horizon** — Dashboard charts can now display data up to 12 months ahead (previously limited to 6), with a flexible horizon selector.

**Persistent settings** — Dashboard preferences (horizon, granularity, tags, KPI display mode, hidden views, etc.) are now saved and restored automatically across sessions and devices.

#### KPIs: New Stock Coverage Formula

The stock coverage metric has been updated with a more accurate calculation. Instead of dividing current stock by the average forecast, coverage is now computed by **accumulating the forecasted demand day by day** to determine how many days the current stock will last before a stockout. This makes the KPI truly answer "when will I run out of stock?", which is significantly more useful for operational decision-making.

#### Other improvements

* **Orders**: The order detail view now includes a secondary unit quantity column, making it easy to read quantities in both primary and secondary units side by side.
* **Supply Orders**: A new alert type highlights order lines that will resolve a current stockout situation, helping teams prioritize replenishment actions.
* **Product list**: Views in Demand and Planning modules can now be sorted by supplier or tag category, enabling faster navigation across large product scopes.
* **Planning**: A Firm Demand row can now be optionally displayed in the Planning table (configurable via table settings), reducing the need to switch back and forth between Planning and Demand tabs.
* **Inventory Strategy**: The service level now supports values up to 99.9% (previously capped at 99%), unlocking finer safety stock configuration for high-criticality products.
* **Flowlity Lite**: The Lite upload interface now supports promotions and external forecasts in addition to sales data.
* **Supply Agreements**: A new Order Placement Deadline column is available in the Supply Agreements view, helping prioritize which agreements need to be acted on first.

## Orders module: Custom Views & Multi-Site Filter on Supply Orders

You can now create and save **custom views** in the Supply Orders module, just like in other modules. Filter, sort, and organize your order lines the way you need — then save the view for quick access later.

In addition, a new **multi-site filter** is now available on supply orders. You can filter orders by site type (e.g. Warehouse, Factory) to focus on the locations that matter most to you.

#### Planning & Demand: Short-Term KPIs & Tag-Based Dashboard

Two new improvements to help you monitor your supply chain performance more precisely:

**Short-term KPI periods** — When creating a KPI, you can now select shorter time horizons such as Next 7 days, Next 14 days, or Next 30 days, in addition to the existing monthly periods. This lets you track near-term performance with greater granularity.

You can now prevent your Stock Min from dropping below a threshold you define — whether in quantity or days of coverage.

This gives you greater control over inventory risk while still benefiting from Flowlity's dynamic stock recommendations.

#### Order lines new options

New display and export options are now available in the Supply Orders module.

It is now possible to display the **Unit price** both in the detailed view of your orders and in the order lines list. This value is also editable. By default, the selected price will always be the one provided by the source data. However, this feature gives you the flexibility to adjust the valuation of specific order lines — for example, in the case of a one-off agreement with a supplier.

In addition, when downloading supply orders (XLSX, CSV, or TSV), it is now possible to export unit prices, as well as user comments at the order line level.

## Additional options for supplier management

**Emergency supplier**

A new emergency supplier feature is now available!

As a standard, Flowlity builds your supply plan selecting the configured default supplier or by applying supplier quotas when they exist. In some situations, the lead time of these suppliers may result in temporary stockouts, even though a faster alternative supplier is available.

The emergency supplier feature is designed to identify such situations and automatically switch to the supplier that can prevent the stockout. If several suppliers have a short enough lead time, Flowlity will select the least expensive.

**Managing constraints directly in the application**

Supplier constraints can once again be modified directly from the application. To do so, simply open the "Product details" panel, click on "Edit", and make the desired changes in the "Suppliers" tab.

To make these updates more user-friendly, it is now possible to configure supplier closures directly in the application. This option is available in the supplier configuration menu.

The Demand and Planning modules now come with advanced filtering capabilities!

You can now use many additional fields to set up filters — all within a more ergonomic interface. Especially all numeric KPIs can now be filtered, making it easier to identify the products that need your attention.

These new filters are available from the usual dropdown, inside a reorganized list:

## Automate your routine tasks with the new Automations module

Flowlity is rolling out the first version of its Automations module, designed to help you automate the execution of some of your routine supply chain management tasks.

Instead of regularly mass-editing the parameters of your product strategies, you can now set up an automation routine that will run on the desired scope and schedule.

The Automations module currently allows you to act on the following parameters:

* **Forecast**
  * Change the forecast source (Flowlity forecast or External forecast)
  * Adjust the product lifecycle (Start sales and End of Life)
* **Inventory**
  * Change the inventory strategy (Make-to-Stock or Make-to-Order)
  * Adjust the buffer policy
  * Modify your stock max

**Use case: External forecast when data is insufficient**

Let's consider the following scenario: you regularly launch new products, for which Flowlity needs a few weeks of history to generate a reliable forecast.

**Step 1 – Create the view for the target product scope.** Automations are applied in bulk to a scope defined through views. In the Demand or Planning module, create a new view, apply the desired filters, and save it.

**Step 2 – Create the automation.** From the view, click on the "Create an automation" button to open the configuration window.

In this example, every Friday at 8:00 PM, all products in the "Insufficient Data" view will switch to "External Forecast" before the weekend's calculation.

**Step 3 – Manage your automations.** Go to the Automations module to view and manage your automations. From this screen, you can:

* Create, edit, or delete automations
* Pause automations without deleting them, or reactivate them
* Check the execution history of your automations

Just add the new lines by clicking on the Table Settings (right side of the screen) and you will find:

**Add similar products directly from the Demand module**

The demand history of the source product will be copied into the demand history of the target product. This is particularly efficient to manage product replacements or to boost new product forecasts.

You can apply a coefficient when transferring the demand history, and define an end date if you want the product link to only be active for a certain period.

1. **Split table view & Relative scrolling** — Instead of a combined table with past and future data, you can split the table into past demand and forecast data. By activating Relative scrolling, you can align past and future data by period with a one-year gap.

**The app becomes faster on large datasets**

Final forecast data are now pre-computed and stored instead of being computed "on the fly", to improve performance — especially on large datasets. This change affects particularly the Demand page and will result in improved loading times and a smoother experience.

## Upcoming update to forecast calculation on customer axis

As part of our ongoing efforts to improve forecast accuracy, we're updating the way forecasts are calculated when using the customer axis.

**What's changing?**

Until now, forecasts at the customer level were generated directly from the historical demand of each product x customer combination.

With this update, we will now:

* Generate forecasts at the **product level**, using the full demand history for each product.
* Then, **disaggregate the forecast** to each customer using a dynamic method that calculates ratios based on the demand quantity of each customer and the number of customers ordering each product.

**Why this is a good thing**

* **Improved forecast accuracy** — Forecasts at a higher aggregation level (product level) are generally more reliable. This means better input for planning and replenishment decisions.
* **Lays the groundwork for new features** — This change is a key prerequisite for the upcoming Forecast Studio, which we plan to release in the next 6 months.

## Smoother navigation: Reorganization of the filters and new capabilities

* The demand type now has its own filter to let you visualize it and combine it more easily with other criteria

**New option on custom KPIs: create your KPIs on the last 7 days**

When creating your own KPIs from the Demand or Planning list, you can now select the last 7 days as the reference period. Very useful if you want to review performance on a weekly basis.

## Enhanced Forecasting Models

We are introducing new enhancements to our forecasting engine, enabling greater customization and continuous improvement in overall performance.

1. **More precise forecast models**
   * Adaptive learning: Our models now feature dynamic error correction and continuous improvement mechanisms, allowing for consistent performance.
   * A better quantification of the uncertainty: Probabilistic forecasting has been significantly improved.
2. **Support for External Data**
   * Our model can now incorporate any external data sources you provide. Get in touch with your project manager or customer success manager to discuss the best options.
   * Soon we will launch an external data store allowing you to purchase and integrate various datasets — from weather data to economic indicators.
3. **Improved Handling of Internal Data**
   * The model now learns more effectively from your tag categories. Feel free to share the most relevant ones for your business.
4. **Preprocessing Customizations** (optional)
   * Outlier Detection & Replacement: You can now choose to let the algorithm automatically accept the detected outliers or not (true by default).
   * Launch Date Detection & Replacement: A new algorithm identifies and corrects demand peaks during product launch periods to avoid learning from initial stocking.
5. **Postprocessing Customization** (optional)
   * End-of-life Deceleration: Forecasts for products nearing end-of-life will gradually decline, ensuring a smoother transition to discontinuation.

**Boosting demand management in Flowlity**

A package of three new features in the Demand module:

1. **See the demand events applied directly in the grid**, for example to see how promotions impact the forecast.

2. **Create a forecast event directly from the Demand module** like a promotion or exceptional events that impact the expected demand, either in **percentage or quantity**. These changes are immediate — so no waiting anymore for the recalculation of forecasts.
